The One Question to Ask Before Accepting a Meeting Invite

Before you accept that meeting invite, ask yourself one question:

"Do I need to be there?"

Not "should I be there?" Not "would it be helpful?" Not "will I learn something?"

Do I need to be there?

The Question Works Because...

It forces a binary answer. Either you need to be there, or you don't. If you don't need to be there, you shouldn't go.

When the Answer Is Yes

You need to be there when:

  • A decision will be made that requires your input
  • You're the only person who can provide specific information
  • You have a stake in the outcome that nobody else represents
  • The meeting is specifically designed to include you

When the Answer Is No

You don't need to be there when:

  • Someone else can summarize what happened
  • The meeting is for information you could get from a doc
  • You're invited "for awareness" but have no decision role
  • You have a conflict and the meeting isn't critical

How to Decline

When you don't need to be there, politely decline:

"I have a conflict at that time. Based on the agenda, this seems like something [specific person] can handle. Let me know if there's a decision that needs my input."

This is respectful, specific, and honest.

The Real Benefit

When you decline meetings you don't need, two things happen:

  1. You get your time back
  2. The meeting gets more focused — only the people who need to be there are there

This makes meetings better for everyone.
