Stop Retyping the Same Email Replies. Teach ChatGPT Your Answers.

If you answer the same five emails every week, you are doing unpaid copy work.

"Thanks for reaching out, here are my prices." "Yes, I am available Thursday." "Here is the link again." You type it, you send it, and next week you type it again.

There is a better way, and it takes about ten minutes to set up. You teach ChatGPT your standard answers once. After that, you paste in the incoming email and get a finished reply back in your voice.

This is not a prompt trick. It is a small skill: a saved set of instructions your AI follows every time. I sell packs of these, but the email one below is free. Copy it, paste it into ChatGPT, and use it today.

Step 1: Write down your five repeat replies

Open a note and list the emails you send over and over. For most people it is something like this:

  1. Pricing or quote request
  2. Availability or scheduling
  3. "Where is my order" or status update
  4. Thank you and follow up
  5. "Can you send that link again"

You do not need perfect wording. Rough notes are fine. The point is that ChatGPT stops guessing and starts from your real answers.

Step 2: Paste this free template into ChatGPT

Here is the copy-paste version. Replace the bracketed parts with your own words:

You are my email reply assistant. Follow these rules every time:
1. Keep replies short, friendly, and plain. No jargon.
2. Never invent prices, dates, or links. If I did not give it to you, ask me.
3. Match my tone: warm, direct, and professional.

My standard answers:
- Pricing: [your pricing answer]
- Availability: [your availability answer]
- Status updates: [your status answer]
- Follow up: [your follow up answer]
- Common links: [your links]

When I paste an email below, write a ready-to-send reply using the matching standard answer. If none fits, say so and draft a short reply from scratch.

Then paste the email you received underneath it. ChatGPT gives you a reply. Read it once, fix anything that sounds off, and send it.

That read-it-once step matters. AI drafts, you decide. Never send a reply you have not read.

Step 3: Save it so you never rebuild it

After the first run works, save that block somewhere you can reach it fast: a note on your phone, a doc, or your notes app. Next time an email lands, it is two pastes and one read-through instead of five minutes of typing.

If you use ChatGPT, Claude, or Grok every day, the same idea scales. One saved instruction block per repeat job: emails, meeting notes, weekly plans, social posts. Small blocks beat one giant mega-prompt every time, because a short instruction set is one your AI can actually follow.

A real example

Say a customer writes: "Hi, how much do you charge and are you free Thursday?"

Without a template, you type the whole answer from scratch. With the template, you paste their email under your saved block and get back something like: "Thanks for reaching out. My rate is [your rate]. Yes, I am free Thursday afternoon, would 2pm work for you?"

Same message. Thirty seconds instead of five minutes. Multiply that by every repeat email in a week and you get your afternoon back.
