Stop Taking Meeting Notes by Hand. Teach ChatGPT to Do It in 30 Seconds.

You know the feeling. The meeting ends, and you have three pages of scribbles, half a to-do list in your head, and zero desire to turn any of it into something useful. So the notes sit there. The follow-ups slip. Someone asks "what did we decide?" and nobody remembers.

Here is the fix I use every week: a copy-paste template you paste into ChatGPT (or Claude, or Grok) along with your raw notes. It turns the mess into clean action items in under a minute.

The template (copy this)

Paste this into your chatbot, then paste your messy notes right after it:

You are my meeting notes assistant. Take my raw notes below and turn them into:

1. A 3-sentence summary of what this meeting was about
2. Decisions made (one line each)
3. Action items as a checklist, with the owner's name next to each one
4. Anything we said we would follow up on, with the date if one was mentioned
5. One line for anything that is still unclear or needs a decision Keep it plain and short. No filler. If a name or date is missing, write "TBD" instead of guessing.

That last rule matters. AI tools love to invent details when something is missing. "TBD instead of guessing" stops that.

Why this works better than a blank prompt

A blank "summarize my notes" prompt gives you a paragraph that reads fine and helps nobody. The template forces structure: decisions separated from tasks, owners attached to every task, and open questions called out instead of buried. That is the whole job of meeting notes, and it is the part most people skip because it feels like work.

One skill, one job. That is the pattern behind everything I build: small, scoped instructions that do one thing well, instead of one giant prompt that tries to do everything.
