A 10-minute monthly budget ritual that doesn't die by month three

Budget apps are great until the third month, when you stop opening them. Here's a low-tech monthly ritual built around a plain spreadsheet — about 10 minutes, designed to survive messy months.

The ritual, in five steps

  1. Fill in actuals. In the "Monthly Budget" sheet, income goes in the yellow cells (four rows: salary, side income, transfers in, other). Expenses go in twelve yellow rows across categories: housing, food, transport, comms, clothing, healthcare, education, entertainment, savings, debt repayment, insurance, other.
  2. Read the diff column. The sheet computes budget − actual for every row plus a percentage-spent column. Red means over budget. One glance tells you the damage.
  3. Log the details. Every expense also goes into the "Expense Summary" log — date, amount, category (dropdown), note. SUMIF formulas auto-aggregate by category so you can cross-check against the monthly sheet. A pie chart shows where the money actually went.
  4. Check the survival numbers. Bottom of the sheet: surplus and savings rate. A common rule of thumb: a savings rate under 10% means something has to change this month.
  5. Point extra cash at the smallest debt. Carrying debt? Don't let "leftover" money evaporate. The snowball sheet ranks debts smallest-first, applies the extra payment to the top one, and projects the payoff month. (The formulas behind this are written up in a previous post.)

Why a spreadsheet, not an app

  • It forces a look. An app syncs silently; a spreadsheet makes you type numbers. Typing is the point.
  • Bilingual headers. English + Chinese headers side by side — useful if you track money in two languages or share the file with family.
  • Color discipline. Yellow = you type here. Blue = formula, hands off. Prevents 90% of accidental formula destruction.
