Over the last few months we've been trying to automate more repetitive agency tasks using n8n.
A lot of our daily operations involved manual work:
- checking leads
- updating CRMs
- sending follow-ups
- assigning leads
- notifying team members
- organizing client data
None of these tasks were individually difficult, but together they consumed a huge amount of time every week.
So we started building a lead management workflow inside n8n.
Current Workflow
Right now the automation does this:
- User submits form
- Lead data enters CRM automatically
- AI qualifies the lead
- Team gets Slack notification
- Follow-up email sequence starts automatically
The biggest improvement honestly wasn't even the speed.
It was consistency.
No missed leads.
No delayed responses.
No manual copying between apps.
Everything just runs automatically in the background.
What We Tested
Before settling on n8n, we also tested:
- Zapier
- Make
Zapier was definitely the easiest for quick workflows.
Make had a really nice visual workflow builder.
But once we started building larger automations with APIs and AI workflows, n8n gave us way more flexibility.
Things we liked most:
- custom logic
- API support
- webhooks
- AI integrations
- self-hosting
- lower scaling costs
Biggest Time Savings
The biggest time savings came from automating:
- lead qualification
- onboarding tasks
- notifications
- reporting
- follow-up emails
A lot of small repetitive tasks disappeared completely.
For agencies handling multiple clients, this saves a surprising amount of time weekly.
