A virtual assistant is usually the first hire people think about when the admin starts piling up. Upwork puts the median VA rate at about $13 an hour, with most charging between $10 and $20. Twenty hours a week at those rates adds up to several hundred dollars a month, before you count the time spent training someone and handing work over.
But a VA's job isn't one thing. It's a stack of separate, repeatable tasks, and most of them now have an AI tool built specifically for them. So you don't replace the assistant in one move. You replace the tasks, one at a time.
The job, broken into tasks
| Tool | VA task it replaces | Free option |
|---|---|---|
| Fyxer | Inbox triage, email drafts, meeting notes | Free trial |
| Todoist | Task tracking and reminders | Free plan |
| Taskade | Research, SOPs, repeat workflows | Free plan |
| Motion | Calendar and daily planning | Free trial |
| Otter.ai | Meeting transcription and summaries | Free plan |
| Zapier | Copy-paste admin between apps | Free plan |
| ChatGPT | Research and first drafts | Free plan |
Plans and free options change. Check each tool's website for current pricing and terms.
How each one fits
Inbox. Email is the job most people hand off first. Fyxer connects to Gmail or Outlook, sorts incoming mail so the messages that need you rise to the top, and drafts replies in your voice for you to review and send.
Tasks and follow-ups. Todoist turns plain-language requests like "invoice a client every Friday" into recurring tasks with the right dates, so the small promises stop slipping.
Process work. Taskade is for jobs that follow an SOP. You set up an AI agent for something like competitor research once, then run it whenever you need it.
Calendar. Motion plans your day around your meetings and reshuffles automatically when something runs long.
Call notes. Otter.ai joins Zoom, Google Meet, and Teams calls, transcribes them, and hands you a summary with action items. If you already use Fyxer, it covers meeting notes too.
Data entry. Zapier handles the "when this happens, do that" handoffs between apps: a new form lead lands in your CRM, invoice attachments get filed, a sale posts to Slack.
Everything else. ChatGPT covers the one-off research and first drafts that don't fit neatly into any of the boxes above.
Where to start
Don't set up all seven. List the admin you'd hand a VA, put an hour estimate next to each item, and hand off the most expensive one first. For most people that's email or scheduling. Get that running, then add the next.
