Agencies Are Overpaying for SaaS: I Replaced 4 Subscriptions With 1 (Here's the Math)

For most agencies I talk to, the stack looks something like this:

  • Lead database (Apollo or similar) — ~$99/mo
  • Cold email tool (Instantly or similar) — ~$97/mo
  • WhatsApp/chat automation (ManyChat or similar) — ~$45/mo
  • SEO toolkit (Ahrefs or similar) — ~$129/mo

That's ~$370/month — over $4,400 a year — before you count the CRM, the scheduler, and the five other tools everyone forgets about.

The hidden cost nobody talks about

It's not just the money. It's the tab-switching tax: leads in one tool, sequences in another, chat in a third, rankings in a fourth. Every handoff between tools is a place where follow-ups die and data goes stale.

I learned this the hard way running outreach for clients. We'd pull leads from one platform, enrich them somewhere else, upload CSVs into the email tool, then manually copy conversations into the CRM. It worked, but it was fragile — and every new client meant re-building the same Rube Goldberg machine.

What consolidation actually looks like

The fix isn't "fewer tools" for the sake of it. It's finding platforms that cover adjacent jobs in your workflow:

  1. Lead sourcing → outreach should be one motion, not two tools. If your lead database and your email sequencer are separate, you're exporting and importing CSVs forever.
  2. Email + WhatsApp belong together. Prospects reply where they want; your follow-up system should meet them there instead of forcing everything into email.
  3. SEO + outreach share data. The keywords you track and the prospects you contact are part of the same growth loop.

You don't have to rip everything out at once. But every redundant subscription you kill is margin you keep.
