If Zoho CRM feels like a glorified contact list, the gap is often automation nobody configured. These are eight automations Zoho documents as possible. Where Zoho's page does not state an edition requirement, we say to check your edition.
1. Route new leads to the right rep (Assignment Rules)
Choose a module, set criteria, then assign by category (users, roles, groups) or by condition. Selecting several users distributes records in round-robin order, and a default user is the fallback. Zoho notes the rules run only on records created through import, web form or API, not records created manually.
2. Create a follow-up task when a lead is assigned
An Assignment Rule can include an optional follow-up step: after assignment, CRM creates a task, such as a call or email, for the assigned user.
3. Skip reps who are unavailable
Assignment Rules can optionally check whether a user is online in CRM, within shift hours, or both, and fall back to the default user otherwise. Zoho notes online status can lag by up to five minutes.
4. Alert someone or create a task when a record changes (Workflow Rules)
A Workflow Rule triggers on a record action (create, create or edit, edit, delete) when conditions match. Instant actions include email notifications, tasks, meetings, calls, field updates, tags, webhooks, custom functions, creating a record, and chat notifications. Zoho states per-rule limits on how many of each action a single instant action can hold.
5. Act later with a time-based action (Scheduled Actions)
Workflow Rules can also run scheduled actions, such as a reminder email, task or field update a set time after the trigger. For example (our scenario, not a Zoho recipe): remind the owner three days after a deal is created if nothing has moved.
6. Push data to another system (Webhooks)
A webhook can be attached to a Workflow Rule as an instant action to post data to another system, for example a won deal to an internal tool. Zoho states daily webhook limits that depend on your edition.
7. Run custom logic (Custom Functions in Deluge)
Custom Functions are written in Deluge Script and attached to a Workflow Rule as an instant action. Zoho lists uses such as rolling up deal amounts to an Account or pushing won deals to accounting software, and lets you pick a function from the Gallery. Creating them needs the Manage Automation permission, and Zoho states limits on functions per rule and statements per call.
8. Require sign-off before a record moves (Approval Processes)
An Approval Process runs on record creation, edit or either. You define criteria, add approval stages and approvers, and set actions on approval and on rejection (tasks, field updates, email notifications, webhooks, functions). While a record awaits approval, Convert and Delete are disabled. Zoho's page does not state the edition, so check yours.
Also worth knowing
- Cadences are multi-step follow-up sequences (email, task, call, WhatsApp) with later steps driven by how the contact responded; limits scale by edition.
- Zoho CRM can act as a trigger app in Zoho Flow. Zoho's guide notes CRM triggers may not fire for imported records or some update paths.
- Practical advice: add one automation at a time and test it with a sample record before switching it on for everyone.
