Best Free Invoice Tracking Templates for Google Sheets (2026)

If you track invoices in Google Sheets, you've probably searched for a good template. There are dozens out there, but most are either too basic (just a blank table) or too complex (pivot tables you'll never use). I tested five popular free templates and compared them on what actually matters for freelancers and small businesses: ease of use, payment tracking, and whether they handle overdue invoices.

*1. Smartsheet Invoice Tracker
*

Clean layout with columns for invoice number, client, amount, date sent, and payment status. Good starting point for freelancers. Missing: overdue alerts and aging analysis.

*2. Coefficient Invoice Template
*

Comes with conditional formatting that highlights paid vs. unpaid invoices. Has a dashboard tab with summary charts. Slightly overkill if you just need a simple list, but great if you want visual reporting.

*3. Xappex/Sheetgo Template
*

Built to integrate with Sheetgo's automation tools, but works fine standalone. Well-structured columns. Best if you plan to connect multiple sheets or data sources later.

*4. FreshBooks-Style Template
*

More of an invoice generator than a tracker, it creates professional-looking invoices you can send to clients. Some people repurpose it as a tracker, but it's not designed for logging received invoices.

*5. Google Sheets Built-In Template
*

Go to File > New > From template gallery > Invoice. Zero setup, but it's barebones. You'll need to add columns for payment status, due dates, and anything beyond the basics.

*Quick Comparison
*

| Template | Payment Tracking | Overdue Alerts | Dashboard | Ease of Setup |
|----------|:---:|:---:|:---:|:---:|
| Smartsheet | Yes | No | No | Easy |
| Coefficient | Yes | Yes | Yes | Medium |
| Xappex | Yes | No | No | Easy |
| FreshBooks | No | No | No | Easy |
| Google Built-in | No | No | No | Instant |

*The Real Bottleneck
*

The template is the easy part. The hard part is actually filling it in β€” opening each invoice PDF, finding the invoice number, copying the amount, typing the date. That's where most of the time goes.

If you receive invoices by email, tools like AutoInv can extract the data automatically using AI and paste it into your sheet. It works with any template layout and any invoice format.
