Trip Settlement for Transporters: Close Trips Cleanly

In Indian trucking, closing a trip is where the money questions come up. The driver took an advance. Diesel slips arrived as photos. Tolls came off FASTag. A repair was paid in cash somewhere on the highway. Someone in the office now has to make it all add up.

The easy shortcut is a balancing entry that makes the trip close. That's also the most expensive mistake, because wrong numbers in a ledger cost far more than slow numbers.

This is how we model trip settlement in JC Fleet, our trip settlement software for transporters.

1. One trip file is the unit of truth

Every trip gets a reference with vehicle, driver, route, dispatch date and the loading details the office already keeps. Every cost links back to this file. If an amount can't be tied to the trip, it doesn't belong in the settlement yet.

2. Driver advances are their own records

An advance isn't just a negative expense. Store it separately: who received it, when, how much, and which trip or work period it covers. Keep proof of payment with the entry when you have it. Mixing advances into the cost lines makes disputes impossible to trace later.

3. Every cost carries its source

Item Keep with the entry Check before closing
Diesel Pump bill, litres, amount, vendor when readable Vehicle, date, trip, duplicates
Toll Receipt or FASTag statement row Vehicle/tag match, trip link, reversals
Repair / other Bill, payee, date, amount Trip, vehicle or office cost?
Driver pay Work period and rate the office entered Advances paid, open items

FASTag rows need their own care, since reversals and duplicates are common. See the FASTag expense-record checklist.

4. Uncertainty is a state, not an error

In JC Fleet, a complete, matched diesel, toll or repair record can move into the trip file. If the photo is unclear, the amount conflicts, or the vehicle doesn't match, it stays in review. That shows up as an open item instead of a silent adjustment. Design rule: never force a trip closed just to balance it.

5. Post after review, report from entries

Clear, matched costs post to the fleet accounting ledgers after review, and can be exported as CSV for Tally, Busy or Excel. The final balance follows your own settlement policy. The software reports only from the entries your team recorded, so it's only as complete as those entries.
