Most emails fail for one reason: they're either too long, too vague, or too generic.
I realized this after sending hundreds of cold emails, sales pitches, and partnership proposals. Some got replies. Most didn't.
The ones that worked? They all had 3 things in common:
- Short (under 150 words)
- Specific (mention something about THEM)
- Clear ask (person knows exactly what to do)
So I compiled the 20 templates that actually work.
Template #1: Cold Email Opener
This is your first contact with someone you've researched.
Subject: [Prospect name], quick question about [their company/industry]
Body:
Hi [Prospect name],
I noticed you recently [specific thing — hired a new team, launched a product, published an article, etc.].
We help [target audience] [achieve specific result — get more leads, reduce costs, improve efficiency].
Given your [specific detail], I thought it might be worth a 15-min conversation.
Are you open to chatting next week?
[Your name]
[Your title]
[Your company]
Why it works: It's personalized (you mention something about THEM), it's specific (not generic), and it has a clear ask. People reply because they feel seen, not sold to.
Expected reply rate: 10-15%
Template #2: Sales Pitch (Problem → Solution)
This works when you have a warm lead or existing relationship.
Subject: [Prospect name] — I might have a solution
Body:
Hi [Prospect name],
Most [target audience] struggle with [specific problem — hiring, content creation, lead generation, etc.].
We built [your solution] to solve exactly that.
Here's how it works:
[Benefit 1] — saves your team [X hours/week]
[Benefit 2] — reduces [cost/bottleneck]
[Benefit 3] — helps you [end result]
I'd love to show you a 10-minute demo.
Are you free [specific times]?
[Your name]
Why it works: Problem-first approach. People buy solutions to problems, not features. By naming their problem, you make them feel understood.
Expected reply rate: 20-40%
Template #3: Cold Email Follow-Up
This is your second email after 3 days of silence.
Subject: Just following up — [Prospect name]
Body:
Hi [Prospect name],
Wanted to bump this to the top of your inbox in case it got buried.
The reason I reached out is we've helped [similar company type] increase [metric] by [X%].
Would a quick 15-minute call be useful?
Thanks,
[Your name]
Why it works: Assumes they missed it (gives them an out), reminds them why you matter, and doesn't sound pushy.
Expected reply rate: 5-10%
Template #4: Partnership Proposal
This works when you want to collaborate with another creator or business.
Subject: [Their company] + [Your company] partnership idea
Body:
Hi [Name],
I've been following [their company/work] and really respect what you're building.
I think there's a natural partnership opportunity:
You reach [their audience] with [their offer]. We bring [your value]. Together, we offer [mutual benefit].
Even a small test could [specific outcome — 10% more revenue, 500 new users, etc.].
Worth a 20-minute call to explore?
[Your name]
Why it works: Specific, mutually beneficial, doesn't ask for free promotion. Shows you've done homework.
Expected reply rate: 15-25%
Template #5: Testimonial Request
This works when a customer got real value from you.
Subject: Quick favor — [Prospect name]
Body:
Hi [Prospect name],
Noticed you've been getting great results with [product/service — mention specific metric if you have it].
Would you mind sharing a quick 1-2 sentence testimonial about your experience?
I can use it to help other [target audience] understand the impact.
Takes 2 minutes. Just reply with what's been most valuable.
Thanks,
[Your name]
Why it works: Assumes success, makes asking easy, shows you're thinking of them.
The Pattern
Notice what all these have in common:
✓ Short (100-150 words max)
✓ Specific (mentions something about THEM)
✓ One clear ask (no confusion about next step)
✓ Friendly tone (not salesy)
That's the secret most people miss.
Long emails don't work. Vague emails don't work. Emails with no clear ask don't work.
These 5 do. And I have 15 more (product launches, upsells, customer retention, onboarding sequences, and more).
Why This Matters
If you're:
- Selling something (SaaS, course, freelance service)
- Looking for partnerships
- Running cold outreach campaigns
- Trying to grow your network
- Need to write emails
...you need good email templates.
Most people write from scratch and end up with mediocre emails that get ignored.
These templates are the shortcuts. Copy-paste them, fill in your details, send.
Get All 20 Templates
I compiled the 20 that work best for:
- Cold email openers
- Follow-ups (that don't feel spammy)
- Sales pitches
- Product launches
- Upsells & downsells
- Customer retention
- Partnership proposals
- Testimonial requests
- Affiliate pitches
- Sponsorship requests
- Onboarding sequences (5 emails)
- And more
All copy-paste ready. Just fill in the brackets with your details.
If you're tired of staring at a blank screen or sending emails that get ignored, these save hours.
One More Thing
The best email isn't the cleverest or the longest.
It's the one that:
- Gets opened (subject line)
- Gets read (short + relevant)
- Gets replied to (clear ask)
All 20 templates follow this formula.
Try 5 of them. If they don't improve your email game, it's an easy refund.
But I think they will.
Good luck.
