Last year, a marketing agency came to me with a problem: their team spent 6+ hours daily making outbound calls. Manual dialing, note-taking, follow-ups — all eating into time that should go to strategy.
I built an AI caller system with Make.com that handles the entire flow automatically.
The Setup
The workflow connects:
- CRM (Pipedrive) → triggers when a new lead enters
- AI voice API → makes the call with a custom script
- Google Sheets → logs results
- Slack → notifies the team on hot leads The whole thing runs on Make.com with zero code. Total build time: 2 weeks.
The Numbers
- $55,000/year saved in employee costs
- 200+ calls/day automated
- Lead response time: from 4 hours to under 5 minutes
What I Learned
Start small. Don't automate everything at once. We started with one campaign, measured results, then scaled.
Make.com vs n8n: For this project, Make.com won because the client needed a hosted solution with no DevOps. For GDPR-sensitive data, I use n8n on a self-hosted VPS instead.
AI voice quality matters. We tested 3 providers before finding one that didn't sound robotic.
The Bigger Picture
This was one of 54+ automation projects I've delivered. The pattern is always the same: find the repetitive process, build the workflow, measure the ROI.
I wrote a comprehensive guide on how SMEs can approach this systematically:

Praxis-Leitfaden (German, but the frameworks apply universally)
