To cancel a subscription by mail, send a short signed letter with your account number, a clear statement that you are cancelling and the end date to the address in the company's terms or on your bill, by Certified Mail, at least a week before the next billing date. Keep your copy of the letter, the postmarked receipt and the delivery record. Those three items are your proof.
Below: when a letter beats the website or the phone, what the letter must contain, what Certified Mail proves, and how to pull a company's mailing address and notice rules from a free API instead of hunting through its site.
When is it better to cancel a subscription by mail?
Many subscriptions cancel online or by phone. If that works, use it and save the confirmation. A letter is the better route when:
- your agreement asks for written notice, which is common for gyms, clubs and some service contracts;
- the online route is hard to find, or the phone line keeps you on hold;
- you already tried to cancel and the charges continued;
- you need a record of the exact day the company got your request, for example because a notice period applies.
One caution. A mail-only rule does not always hold. California requires a business that let you accept an automatic renewal online to let you cancel online, and federal law (15 U.S.C. ยง 8403) expects simple ways to stop recurring charges from online sign-ups. If you signed up online, check that before assuming you must write.
Do states really require written notice to cancel?
For gym contracts, often yes. Our automatic renewal laws guide reports that in 24 of 51 US jurisdictions (50 states plus DC), at least one gym rule requires written notice and names no email, phone or online alternative. That is judged on the gym statute alone, so your contract may add other routes.
What must a cancellation letter contain?
Keep it short. Whoever opens the envelope should be able to find your account and act without writing back. Include:
- your name and address, exactly as on the account;
- your account or membership number (the email on the account works if you cannot find one);
- a clear sentence that you are cancelling the subscription and every add-on;
- the date it should end;
- a request to stop all future charges and to confirm in writing by email.
Sign and date it. Our free cancellation letter template fills these fields in as you type, and you can copy it, print it or save it as a PDF. The address matters as much as the text: use the one your contract or terms give for cancellations, which is often a head office rather than a local branch. If none is named, use the billing address on your latest statement.
How do you prove a cancellation letter was delivered?
An ordinary stamped letter leaves no record, because standard first-class mail has no tracking. Certified Mail gives you a mailing receipt and shows when the letter was delivered, or that a delivery attempt was made. Add Return Receipt if you want the signature of the person who accepted it. Then:
- Ask for Certified Mail at the Post Office counter and keep the postmarked receipt.
- Follow the tracking number until it shows delivered.
- Save the tracking page as a PDF or screenshot, because USPS keeps tracking history online for a limited time only.
- Check your next statement, and keep any confirmation email.
Timing matters too. USPS lists First-Class Mail at 1 to 5 days and does not guarantee delivery time, so post the letter at least a week before the billing date, and earlier if your terms set a notice period. If a charge still appears after your end date, write again with the delivery date and the list of later charges, then dispute it with your card issuer. How do you look up a company's mailing address and notice rules?
Postbye publishes cancellation guides for 8,694 companies in 30 categories, browsable at the cancellation guides index. Each guide lists how the company takes cancellations, traps to check and any mailing address on file; most of the 1,516 guides verified by hand, including Planet Fitness below, also give the notice period. The same data is served through a free, read-only MCP server at https://postbye.com/mcp with four tools: search_companies, get_cancellation_guide, get_cancellation_letter and list_categories. It needs no sign-in or key, and the MCP server docs cover setup for Claude, Cursor, ChatGPT and VS Code.
It is plain JSON-RPC 2.0 over POST, so you can also call it from a script. This request asks for the Planet Fitness guide:
curl -s -X POST https://postbye.com/mcp \
-H 'content-type: application/json' \
-H 'accept: application/json, text/event-stream' \
-d '{"jsonrpc":"2.0","id":1,"method":"tools/call",
"params":{"name":"get_cancellation_guide",
"arguments":{"slug":"planet-fitness"}}}'
Trimmed response (fields cut, long values shortened with "..."):
{"jsonrpc":"2.0","id":1,"result":{"structuredContent":{
"name":"Planet Fitness",
"category":"Gyms & fitness",
"method":"letter",
"how_to_cancel":"Mail (written notice to your home club), in person at your home club, or online (sign in to the member portal on planetfitness.com)",
"notice_period":"Cancel at least 7 days before the next billing date; same 7 days before the annual fee date",
"traps":["$58 buyout fee if the membership has a minimum term and ends early", "..."],
"letter_goes_to":"Your home club, not head office. ...",
"verified_on":"2026-10-28",
"page_url":"https://postbye.com/cancel/planet-fitness"
},"isError":false}}
Note letter_goes_to: for this gym the letter goes to your home club, not head office.
What to do next
Check the company's notice rule, write the five-item letter, send it by Certified Mail a week or more before renewal and file the receipt and delivery record. If you would rather not handle the posting, Postbye mails the letter for you.
