Merge PDFs for a Visa Application: One File, in the Right Order

Visa applications usually ask for one PDF, not five. Passport, bank statements, employment letter, photos, travel itinerary — each a separate file, and the portal wants them merged into a single document, in the right order, under a size limit.

Get the order wrong and an officer reads your bank statement before your cover letter. Get the size wrong and the upload fails. Here is the simple workflow I use.

1. Put the files in order first

Decide the order before you merge anything. A sensible default:

  1. Cover letter / application form
  2. Passport bio page
  3. Employment or enrollment letter
  4. Bank statements
  5. Supporting documents (photos, bookings, itinerary)

Rename the files with numbers (01-cover-letter.pdf, 02-passport.pdf...) so the order is obvious.

2. Merge in the browser, no upload needed

I merge with the free Merge PDF tool from PDF Text Tools — it runs entirely on your device, so your passport and bank statements never leave your computer. Drag the files in, arrange them, merge, download one PDF.

3. Check the result before you submit

Open the merged file and check three things:

  • Order — page 1 is your cover letter, not a random attachment.
  • Size — if it is over the portal's limit, run it through the Compress PDF tool until it fits.
  • Readability — every page is upright and legible; a sideways scan is an easy rejection.

The full guide

I wrote up the whole process — document order, size limits, and the mistakes that get applications delayed — in Merge PDFs for a Visa Application: One File, in the Right Order.

One file, right order, small enough to upload. That is the whole trick.
