Every CRM pricing page leads with the same move: a per-seat number that almost nobody ends up paying. We spent June fact-checking the 2026 pricing of the major CRMs against their official pages plus at least two independent sources each, and the pattern is consistent enough to write down as a rule.
The three bands
CRM list prices in 2026 fall into three predictable bands (per user/month, annual billing):
| Tier | Price band | Who it fits |
|---|---|---|
| Entry | ~$15-25 | Solo operators, small teams: contacts, deals, a pipeline |
| Mid | ~$50-70 | Teams that need automation, reporting, integrations |
| Enterprise | $150-550 | Custom workflows, governance, heavy customization |
The verified per-tool numbers (entry → mid → top, per user/month annual):
- Zoho CRM — $14 → $23 → $52
- Pipedrive — $14 → $59 → $79
- monday CRM — $15 → $33 → quote
- Freshsales — $9 → $39 → $59
- Close — $9 → $99+
Notice the shape: entry tiers are clustered within a few dollars of each other, and the real differentiation — the pricing that actually decides your bill — happens at the mid tier, where the spread is $23 to $99 for roughly the same promise ("automation and reporting").
Why the sticker is not the bill
Three mechanics inflate the entry price, all of them legal, all of them in the fine print:
- Annual prepayment. "$14/user/mo" is billed as one upfront charge. Monthly billing is typically 20-40% more.
- The feature you came for lives one tier up. Email automation, lead scoring and e-sign are almost never on the entry tier. If your workflow needs one of them, your comparison price is the mid tier — where the spread is 4x.
- Implementation. First-year implementation (migration, training, integrations, mandatory onboarding fees) commonly runs 0.5-3x the annual license. This is how a "$25 per seat" CRM becomes a six-figure year-one line for a 50-seat org.
The math that matters
Price your shortlist at the tier that contains your must-have feature, times realistic seats, times 12, plus an implementation estimate. Do not price the entry tier — you will not be on it in six months.
We keep the full verified table (all vendors, all tiers, plus the traps each pricing page hides) updated in our CRM software cost guide, and if you want renewal prices at your exact team size rather than signup teasers, the Real Cost calculator prices 20 tools in one view.
Data: RealCostLabs, verified June-August 2026 against vendor pricing pages. Prices change often — Salesforce raised Enterprise ~6% in August 2025, Pipedrive collapsed five tiers to four — so verify live before you sign.
