Which Zoho CRM edition do you actually need? Edition gating explained

If a feature you expected is missing in your Zoho CRM, or you are paying for an edition you barely use, the cause is often edition gating. This post summarises what Zoho's own edition guide says and how to check your own position.

The five editions

Zoho's edition guide describes five editions: Free, Standard, Professional, Enterprise and Ultimate. Free supports up to three users with basic CRM functionality. Zoho says Standard "gives you core CRM capabilities: multiple pipelines, custom modules, workflows, email integration, and dashboards", and that Cadences are included.

What each step up unlocks, per Zoho

Edition Who Zoho says it suits Features Zoho lists
Free Solo founders or freelancers Basic lead, contact and deal tracking; workflows with limited actions; no Cadences, Blueprint or Portals
Standard Small sales teams Multiple pipelines, custom modules, workflows, email integration, dashboards, Cadences
Professional Small teams needing more than core CRM Inventory management (quotes, sales orders, invoices) and CPQ, Blueprint, Portals, partial Zia AI, more webhooks and higher API limits
Enterprise Mid-sized companies with multiple teams and processes Territory management, translations, Sandbox, full Zia AI, custom functions, advanced developer tools
Ultimate Large organizations with complex needs Everything in Enterprise with the highest limits across every feature (custom modules, fields, API credits, automation rules and more)

Limits are gated too, not just features

Zoho's specifications page has a table showing that the number of custom modules and custom fields per module rises with each edition. It points readers to the Feature Availability table on the Zoho CRM website for the latest limits. Check Zoho's current feature table rather than trusting a third-party comparison.

Sandbox is an example of edition gating

Zoho's sandbox page says sandboxes are available in Enterprise and Ultimate trial editions, and that a full-data sandbox is available only for Ultimate edition users with 10 GB data storage. Whether you can test a change safely before deploying it can therefore depend on your edition.

How to check whether you are on the right edition (practical advice)

This checklist is advice, not vendor documentation.

  • List the five or six things your team actually needs Zoho to do, then find each on Zoho's Feature Availability table and note the lowest edition that includes it.
  • Compare that to the edition you are on. A missing feature points to an upgrade, or to a smaller change in how you work.
  • Check features you pay for but nobody uses. Sometimes the fix is configuration, not a different edition.
  • Before upgrading, confirm with Zoho that the specific feature you want is in the target edition, since editions and limits change.
  • Remember that setup effort is separate from the edition. An edition with a feature does not mean it is configured.

When the edition is not the problem

A team that is unhappy with Zoho is often on an adequate edition with an unconfigured or messy setup. A review of what is configured against what is needed usually answers the question faster than comparing plans.
