Duplicates rarely come from one mistake. They come from several doors into your CRM (typing, imports, web forms, integrations), and each one needs guarding. Here is what Zoho documents about each door, and what to do about the duplicates you already have.
Unique fields
If you mark a field such as email as unique, CRM checks new records against existing values. Zoho says this helps stop duplicates before they are created. For Leads and Contacts it is enabled separately in each module. Zoho says the check applies when creating and editing records, in related lists and lookups, when cloning (clear the unique values first), in the mobile app and in the API. Duplicates from web-to-lead and web-to-contact forms are sent for approval.
Imports
Zoho's import FAQ describes options to overwrite, skip or clone duplicate records, with duplicates detected on a default field per module: Email for Leads and Contacts, Account Name for Accounts and Deal Name for Deals. Overwrite replaces only the fields you map, and Zoho's FAQ states it is available on Enterprise and above. To update existing records safely, export them so the file has Record IDs, edit, and import with Overwrite; if Record ID is not mapped, new records are not created.
Where the checks do not run
Zoho lists these gaps: edits through Zoho Sheet View, data migration, restoring from the Recycle Bin, and sync through the Outlook plug-in or Google Contacts sync. The check also does not work if the system Email field is hidden, which is a common blind spot when screens are simplified.
Cleaning up what is already there
- Find and Merge, from a record: works in Leads, Accounts, Contacts, Deals, Vendors and custom modules, up to three records at a time, and needs the Find and Merge permission. You choose the master record and which field values to keep; attachments, notes and activities move to the master.
- De-duplicate, from a module list: pick up to three matching fields, CRM auto-merges exact matches and asks you to resolve conflicts. Only top-of-hierarchy or administrative users can run it, and only one user per module at a time.
- Both pages say merged records are deleted permanently and the action cannot be reverted. Practical advice: export the module first and merge a small batch to start.
Prevention checklist
- Mark email, and any other true identifier, unique in Leads and Contacts.
- Make sure the Email field is not hidden on layouts.
- Before each import, choose skip or overwrite deliberately and use Record ID for updates.
- Remember which paths bypass the checks (migration, Recycle Bin restore, Outlook and Google sync).
- Review the web-form approval queue regularly.
- Practical advice: pick one system as the source for each type of record and list every tool that writes into CRM.
- Practical advice: schedule a monthly De-duplicate run, starting on a small module.

Duplicates mostly come from imports in my experience. Deciding on one match key, usually the domain, before anything gets imported saves a lot of cleanup. Do you see more of them from web forms or from bulk imports?
