How to Calculate Your Freelance Hourly Rate (Free Google Sheets Template)

Stop Undercharging: The Math Behind Your True Freelance Rate

Every freelancer has been there. A client asks for your rate, and you blurt out a number that's either too low (leaving money on the table) or too high (scaring them away).

The problem? Most freelancers base their rates on what they think they can get, not on what they need to make.

The Real Cost of Being Freelance

When you're an employee, your hourly rate is just your salary divided by 2080 hours. But as a freelancer, you're paying for:

  • Your own health insurance (if in the US)
  • Self-employment taxes (15.3% in the US)
  • Software subscriptions ($100-500/month easily)
  • Equipment and maintenance
  • Marketing and business development
  • Unpaid time for proposals, admin, and learning
  • Vacation and sick days (no paid time off!)

The 3-Step Rate Formula

Step 1: Calculate Your Minimum Rate

Start with your desired annual income, add business expenses, account for taxes, then divide by your actual billable hours (not 2080 — aim for 1200-1500 if you're starting out).

Example:

  • Desired income: $80,000
  • Business expenses: $15,000
  • Effective tax rate: 25%
  • Billable hours: 1,200

Your minimum rate = ($80,000 + $15,000) / (1,200 × 0.75) = $105/hour

Step 2: Compare with Market Rates

Your minimum rate is your floor, not your ceiling. Research what others charge in your niche:

Step 3: Adjust for Project Complexity

Not all projects are equal. Apply a multiplier:

  • Simple task (1-2): Base rate × 1.0
  • Standard project (3): Base rate × 1.3
  • Complex project (4-5): Base rate × 1.6
