The first seven days of a client engagement set the tone for everything that follows.
Clients form their expectations about how you work, how you communicate, and how professional the experience will be based on the onboarding period. A well-structured onboarding creates confidence. A disorganized one creates anxiety that persists through the project.
Day One: Confirmation and Welcome
Send a welcome message within a few hours of the contract being signed.
What it covers: confirmation that you have the signed contract and deposit, the start date for active work, what you will need from them in the first few days, and when they can expect to hear from you next.
Brief. Warm. Professional. This message tells the client the engagement is real and you are on it.
Days Two and Three: Access and Setup
Gather everything you need to begin work. Every access credential, API key, design file, and asset. Every meeting invite, Slack channel, or communication channel setup.
Do not start work without what you need. Starting work and discovering missing dependencies mid-stream is a timeline risk and a client confidence risk.
Send a confirmation when you have everything: "I now have all the access I need to get started. [Any remaining item] - can you let me know when that will be available?"
Day Four: Kickoff
Run the kickoff call. Cover: who has final decision authority, what done looks like specifically, what constraints are real versus preferred, what could make this harder than expected, and how you will communicate.
Send a one-page kickoff summary within a few hours after the call.
Day Five: First Work Update
Send a brief progress note. Not a weekly update - you are not at the end of a week yet. A brief note that shows you are working.
"Started [specific thing] today. [Brief observation or question.] More update on Friday."
This note removes the "I wonder if they have started yet" anxiety that every client experiences in the first week.
Days Six and Seven: Establish the Rhythm
By the end of the first week, the client should have received the welcome message, the access confirmation, the kickoff summary, and a brief progress note. The Friday weekly update follows the normal format.
Four communications in seven days. That is what professional onboarding looks like.
