Start with one bounded procedure set
Choose a small set of documents that applies to one site and one type of work. For example, a fulfilment business might start with its approved order-query, returns-documentation, and escalation procedures.
Do not begin by importing every old process note. A superseded instruction can be more confusing than a missing one. Ask the procedure owner which versions are current and who they apply to.
Suppose two documents describe how to handle an order query. One is an old draft, and the other is the approved process for the current system. Your local reference pack should make that difference explicit before anyone asks a question.
Prepare the sources and their status
Give each document a clear name and record its version, approval status, site, and owner. Keep the original files available so a reader can inspect the full procedure.

A model should not decide which procedure is approved from the filename alone. Get that information from your business process.
Use readable PDF, DOCX, TXT, or Markdown sources. Scanned pages need a checked text version. The desktop extractor reads text; it does not guarantee complete interpretation of diagrams, labels, or forms embedded as images.
Set up a local reference project
Install OGAD and download a local text model that fits the computer. Complete the first import and search setup while connected. Projects and document chat are core features and do not require background recording.
- Select the downloaded local model in Models > Text.
- Open Projects > New project and name it for the site and procedure set.
- Open Knowledge & settings > Knowledge base > Add files.
- Add the approved files and wait for indexing.
- Keep only the relevant current sources enabled for routine lookup.
- If Include captured memory is available, turn it off for this procedure-only task and save.
- Start Chats > New chat inside the project.
This creates a local reference workflow. It does not connect to your warehouse management system, validate stock, or assign staff permissions.
Ask for the instruction and its source
Use a query with the task and scope:
In the approved procedure set for Site A, find the instructions for recording an order-status query. Name the file and version stated in the source. Quote the relevant steps and include any stated exception or escalation condition. If the retrieved text does not establish the answer, say so. Do not invent a process.
Check the returned source. Open the original procedure and confirm that it applies to the situation. A text-part citation helps locate a passage; it is not necessarily an original page number.
Avoid broad prompts such as “What should we do with this order?” when the answer depends on live system information that the model does not have.
Keep document lookup separate from operational decisions
A procedure may tell a person where to check an order status or who can approve an exception. It does not give the AI live knowledge of that order.
For the fictional query example, the useful result is the approved documentation and escalation path. The staff member still checks the actual order in the authorised system and follows the applicable process.
Do not ask a local text model to invent handling instructions for hazardous goods, equipment operation, or another task requiring specific training. Use the approved source and qualified supervision where required.
Make common questions easy to check
Start with a small set of questions staff actually ask. Test each against a known correct source before using the setup routinely.

Do not treat an answer as complete merely because it lists numbered steps. Retrieval may omit a condition or a cross-reference, especially in a long manual.
If a question repeatedly returns the wrong source, narrow the project or add a checked extract of the relevant section.
Test offline access before relying on it
After setup, disconnect the computer and ask a question with a known answer. Confirm that the local model loads, search returns the expected passage, and the original procedure opens.
Also check that linked forms or attachments are stored locally if the workflow needs them offline. A local document can contain a link to an online form that still requires a connection.
Record which parts of the reference task work offline. Do not extend that result to live order lookup, messaging, or system updates that need network access.
Give procedure updates an owner
Offline files remain the versions you stored. They do not become current just because the AI can search them.
When a procedure changes, have the responsible person replace or disable the old retrieval source, import the approved revision, and repeat the affected questions. Keep a record of the source set used for the review.
If historical versions need to remain available, separate them from the current lookup set and label their purpose. Do not rely on the model to resolve every version conflict.
Keep the service scope small and useful
For a small fulfilment team, the first useful setup may be one workstation and a limited set of approved documents. Confirm the workflow before expanding it.
This is not a shared knowledge platform with automatic role enforcement or live warehouse integration. Any broader deployment needs its own access, update, and support plan.
Download OGAD and test three common questions against one approved procedure set. The goal is a reliable route to the right source, with the operational decision still grounded in the current process and actual system information.
