For a first attempt, choose a routine process you know, such as preparing materials for a workshop. The result is a draft checklist you can copy into your notes. It does not automatically create assigned tasks or mark work complete.

What do you need for an offline checklist?

Install OGAD and download a local text model. Use a readable PDF, DOCX, TXT, or Markdown procedure. The free core project workflow runs on supported Mac and Windows computers after the model and search resources are ready.

A scanned PDF needs a searchable text layer or a checked text version. Keep the original available so you can verify prerequisites, exceptions, and the order of steps.

How do you turn the procedure into actions?

Add the document to a project, then ask about a specific procedure or section. Tell the model to preserve conditions and avoid creating responsibilities the source does not state.

  1. Open Projects > New project, enter a process name, and press Enter.
  2. Open Knowledge & settings > Knowledge base > Add files and import the document.
  3. Wait for indexing and keep the file enabled for retrieval.
  4. Open Chats > New chat within the project.
  5. Ask for a checklist from a named section.

Try:

Turn the workshop preparation section into a checklist. Use one action per item. Keep prerequisites, deadlines, and conditional steps. Name the source file. Mark missing owners or dates as "not specified" instead of inventing them.

You should get an actionable draft in the chat. Check every item against the procedure before you copy it into your working notes.

Test the conversion on a short sample procedure

Use a small example whose conditions you can inspect:

Before a workshop, confirm the room booking with the venue.
Send the arrival note after the venue confirms the room.
If more than 20 people register, ask the venue for extra chairs.
Print the final attendance list on the morning of the workshop.

Ask the model to make one checklist item per action and preserve the conditions. This sample should produce a booking-confirmation step, an arrival-note step that depends on confirmation, a conditional extra-chair step, and a morning printing step.

Check what it does not know. The procedure does not name an owner, an exact date, or a deadline for asking about chairs. Those fields should remain unspecified. A polished checklist that invents an organizer or turns the chair request into an unconditional instruction has changed the source.

Then ask for a shorter version that still keeps the conditions. The point is to make the procedure easier to follow while preserving its meaning. Shorter wording is useful only if you can still tell when each action applies.

For your real procedure, place the checked checklist beside the source and follow one item back to its original sentence. Repeat that check for conditions and exceptions. Keep any improvement you add yourself clearly separate from the actions extracted from the document.

How do you make the checklist complete enough to use?

For a short procedure, paste its full checked text into a local chat and ask for the checklist directly. Keep it within the model's context limit. This gives the model the exact passage you want to transform.

For a longer procedure, work section by section. Project search retrieves selected relevant passages, not every line of the file for every answer. Use the source headings as your coverage list.

Ask a separate review question:

Compare this checklist with the supplied procedure text. Identify missing conditions and steps that have no source support. Do not claim completeness beyond the text provided.

Then perform your own check. A second AI pass can help find issues but is not an independent guarantee.

Remove any step you cannot support from the procedure unless you deliberately choose to add it. Label your own additions separately. Ask for shorter wording only after the facts and order are correct.

For safety-critical, legal, or regulated procedures, use the authorized source and required review process. This guide creates a working draft, not an approved replacement procedure.

Can the checklist be made without internet?

Yes, with the selected text model and search resources local after setup. Disconnect internet and repeat a small example. Remote model choices, connected tools, and device sync are separate.
