The Cold Email I Send to Every Marketing Agency (Template + Why It Works)

I run an AI automation company. Here's the exact cold email template I use to reach marketing agencies - and the thinking behind every line.

The email

Subject: Your team writes 10 proposals a week. What if it took 2 minutes each?

Body:

Hi [Name],

I noticed [Agency] does [type of work] for clients like [example client]. Quick question: how many hours does your team spend writing proposals and client reports each week?

We built an AI system that generates branded proposals from a brief - your template, your tone, your pricing structure. Account managers fill in the details, AI writes the document, team reviews and sends. Takes 2 minutes instead of 3 hours.

Same thing for monthly client reports. AI pulls the data, writes the narrative, outputs a branded PDF. Analyst reviews in 5 minutes instead of building from scratch in 2 hours.

We charge a flat $5,000 to set this up. 60-day ROI guarantee - if it doesn't save at least what you paid, we refund the difference.

Want to see a demo? I can show you exactly how it works in 15 minutes.

Best,

Why each part works

The subject line

"Your team writes 10 proposals a week. What if it took 2 minutes each?"

This works because it's specific, it's about THEIR team (not about us), and it implies a 90x improvement without saying it. Nobody ignores a subject line that describes their exact problem.

The opening

"I noticed [Agency] does [type of work] for clients like [example client]."

This proves you actually looked at their website. It takes 30 seconds of research per email and it's the difference between a 2% and 15% response rate.

The question

"How many hours does your team spend writing proposals each week?"

This isn't a real question - it's a mirror. Every agency owner KNOWS the answer and it bothers them. You're not telling them they have a problem. You're making them think about a problem they already know they have.

The solution

Two paragraphs. Proposals and reports. Specific enough to be believable. The key phrases: "your template, your tone, your pricing structure" - this says we're not replacing their process, we're accelerating it.

The price

"$5,000 flat." No "starting at" or "from." A flat number they can budget. It's also low enough that an agency owner can say yes without a committee.

The guarantee

"60-day ROI guarantee." This removes all risk. If it doesn't work, they get their money back. Nobody has taken us up on it.

The CTA

"15 minutes." Not "a call" or "a meeting" - those sound like commitments. 15 minutes sounds like nothing.

The follow-up (3 days later)

Subject: Re: Your team writes 10 proposals a week...

Hi [Name],

Just following up. Here's a free AI proposal generator we built - try it with a real project brief:
https://tools-three-blush.vercel.app/proposal.html

If the output is useful, imagine what a version trained on your templates would do.

Best,
Ava

Why the follow-up works

It gives them something free to try. Once they see the output quality, the $5,000 price tag makes sense. The tool is the demo.

Results

Just started sending these, so no conversion data yet. But the template is based on patterns that consistently get 10-20% response rates in B2B outreach:

  • Specific to their business
  • Shows you did research
  • Names a concrete problem
  • Offers a specific solution at a specific price
  • Removes risk with a guarantee
  • Low-friction CTA

If you're building something similar, feel free to steal this template. Swap in your product and pricing.

And if you run an agency and you want the automation I described, check out Vectral AI or try the free tools at tools-three-blush.vercel.app.
