The public reply under a 1-star review is read by the next ten shoppers, not by the person who already left. I use a three-line structure and five prompts so the answer stays calm, specific, and inside my refund policy.
The 3-line structure
- Thank + name the specific problem. "Thanks for telling us the mug arrived chipped — that's on our packaging."
- One concrete fix you can actually deliver. Replacement, partial refund — only what your policy allows.
- Move it private. "Message us your order number and we'll sort it today."
Prompt 1 — the calm public reply
Here is a 1-star review: [REVIEW]. Facts: [WHAT HAPPENED, MY POLICY]. Write a public reply under 80 words: thank them, acknowledge the specific issue, state one fix I allow, invite them to message us. No excuses, don't blame the customer, never promise anything not in my policy.
The last sentence matters most. Without it, models invent refunds you never offered.
Prompt 2 — the unfair review
This review is inaccurate: [REVIEW]. True facts: [FACTS]. Write a polite, factual correction that future buyers would trust. No sarcasm.
Prompt 3 — tone check
Rate this draft 1–10 for defensiveness and rewrite it to a 2: [DRAFT]
Prompt 4 — turn reviews into fixes
Here are my last 20 reviews: [PASTE]. Group complaints by theme with counts, suggest one operational fix per theme, then write 5 FAQ entries for my product page.
Replying fixes one review. Pattern-finding fixes the next ten.
Prompt 5 — positive replies that don't look copy-pasted
Write 5 different short thank-you replies for 5-star reviews, each mentioning [PRODUCT DETAIL].
Always read the output before posting — you know your customer; the model doesn't.
