How I turn a messy contract end-date dump into a clean renewal calendar

A folder of signed PDFs, a spreadsheet with “ends sometime in Q4,” an email that says “auto-renew unless we cancel,” and a sticky note that “maybe 30 days notice” are not a renewal system. They are how end dates sneak up until someone asks “what renews this month?” and nobody has one answer.

Here is the workflow I use when someone dumps messy contract end dates on me and wants one clean renewal calendar: every upcoming end / renew / notice-by date on one page, with open questions flagged — without me pretending to be their lawyer or CPA.

Why renewals get missed

Most dumps I see fail in the same three places:

  1. Split sources — PDFs in Drive, dates in email, “remind me” notes in a chat
  2. Date fog — end date logged, but not the notice-by date that actually matters
  3. Rule drift — auto-renew, month-to-month, and fixed-term treated as the same thing

If those stay fuzzy, the calendar lies. So I fix the fog before I polish the formatting.

Sort into three piles first

Before columns, I sort every contract-looking item into:

  • Clearly dated — end date and/or renew date stated in the dump
  • Notice-window only — “30 days before renewal” with no computed act-by day yet
  • Unknown or conflicting — missing year, amendment vs base disagreement, or “we cannot tell from this dump”

Unknowns do not get silently filled with “probably annual.” They get a status and a question for the owner.

What I ask for before I start

  1. The dump (contracts / SOWs / amendments, spreadsheet of vendors or clients, email side-letters if any)
  2. As-of date that matters (today, month-start, custom)
  3. Whose side they are on (provider vs customer) — notice windows feel different from each chair
  4. Who the one-pager is for (ops, founder, bookkeeper handoff)
  5. What “done” means (renewal calendar one-pager, optional next-90-days callout, optional chase list for missing notice terms)

I am a freelancer admin / spreadsheet helper. I do not give legal or financial advice, and I am not a CPA or attorney — this is date hygiene so their renewals stay visible, not contract interpretation, tax, or counsel work.

Build the calendar row by row

  1. Inventory every contract-looking artifact — PDF, row, email confirmation; note source and date.
  2. Normalize counterparty names — one canonical name per row; keep aliases in notes if they conflict.
  3. Lock the identity — contract / SOW label (or “missing — ask”), effective date if stated.
  4. Capture the date stack — term end, renew date, notice length, computed notice-by / act-by when the dump supports it.
  5. Apply status honestly — upcoming, notice window open, past due / unclear, cancelled, unknown — never invent a renew date to tidy the sheet.
  6. Hand back — the renewal calendar one-pager (+ short list of questions); no legal rewrite, no “you should cancel” advice.

Common traps I flag instead of guessing

  • Logging the end date but skipping the notice-by date before it
  • Treating “within 30 days of renewal” as a fixed day with no renew date in the dump
  • Ignoring amendments that silently moved the term
  • Mixing marketing “launch by” dates with contractual end / renew obligations
  • Filling blank notice terms from “industry standard 30 days” folklore

Those become Notes or a short question list, not silent edits.
