How I turn messy meeting notes into a one-page client brief

Kickoffs, sales calls, and Slack dumps often leave you with a pile of notes and no single page a client (or your future self) can skim.

Here is the workflow I use when someone sends messy notes and wants a one-page brief back in about a day.

What "good enough" looks like

  • One page (or one short doc) a human can read in under three minutes
  • Goal, audience, constraints, and next steps in plain English
  • Decisions already made called out separately from open questions
  • No transcript dump — only what matters to act on

Intake checklist

  1. The raw notes (docs, bullet dumps, voice-to-text, screenshots)
  2. Who the brief is for (client, internal teammate, future you)
  3. The decision or deliverable this brief should unlock
  4. Hard constraints (budget, deadline, tools, brand voice)
  5. Anything that must stay out of the brief (pricing, private names)

The pass order that saves time

  1. Inventory sources — list every note file and when it was captured.
  2. Pull goals first — what success looks like in one sentence.
  3. Separate facts from opinions — keep assumptions labeled.
  4. Cluster themes — audience, scope, timeline, risks, open questions.
  5. Write the one-pager — tight headings; cut anything that does not change a decision.
  6. Spot-check — send three unclear lines back as questions, not guesses.

Common traps

  • Pasting the full transcript under a "brief" title
  • Mixing open questions into the decisions list
  • Inventing scope the notes never stated
  • Hiding risks in a vague "notes" appendix nobody reads
  • Writing for yourself instead of the named audience

Soft handoff

When the brief is done, send:

  • The one-pager
  • A short list of open questions that still need answers
  • Links or pointers back to the source notes you used
