The mid-expense checklist I use so a reimbursement sheet stays honest

The same lunch claimed twice — once from the email receipt, once from the card screenshot. A missing receipt patched with "I remember it was about forty." Personal coffee folded into "client meals" because the sheet looked thin. A category nobody on the client side ever used. A stale card dump from last quarter still greening this claim. Mileage invented as a line item with no log. That is not mid-expense truth. Mid-expense is where folklore becomes a fake claim sheet — double-claims, missing-receipt folklore, personal/business blur, category inventing, stale dumps, and a pretty spreadsheet pretends the dump agreed with itself.

I am a freelancer admin helper. I turn messy expense dumps into a clean reimbursement claim sheet. I am not a CPA, bookkeeper, lawyer, tax advisor, or reimbursement-policy expert — and this is not financial, tax, legal, or reimbursement-policy advice. It is the checklist I run mid-expense (and again before anyone treats the sheet as ready to submit) so the reimbursement sheet stays honest while receipts are still arriving.

What "honest" looks like mid-expense

  • Every real spend is one line — email + photo of the same charge are merged, not counted twice
  • Amounts and dates exist only when evidenced in the dump (or labeled ask / guess / TBD) — remembered totals are folklore, not the claim
  • One category list — invented or client-foreign categories stay ask, not both greened
  • Personal or other-client spend is labeled out / excluded — not folded into business so it still looks claimable
  • Assumptions are labeled assumption — not written as settled purpose or policy
  • Source note + capture date exist — superseded or out-of-range card folklore is labeled stale, not still greening the sheet
  • Nothing invented beyond what the dump supports — guessed mileage and missing-receipt patches are not a claim

If the only “claim” you have is a confident total and a folder titled “finance will somehow know,” mid-expense honesty has already slipped.

The mid-expense checklist (run it before / while you clean)

Use this against the dump (receipt photos, PDFs, card CSV, email forwards, Slack thread, old claim if any) before you paste everything into a pretty template and call the sheet ready to submit.

1. Inventory the expense dump

  • [ ] Soft scope is named (this client / this trip / this capture window) — out-of-scope noise stays out or flagged
  • [ ] Every source is listed once: receipt snippet, file, card line, capture date, claim type (spend / exclusion / unknown), notes
  • [ ] Duplicate charges or the same spend under two sources (email + photo, CSV + screenshot) are labeled duplicate — not two claim lines for one lunch
  • [ ] Superseded or out-of-range card dumps are labeled stale — not resurrected as this mid-expense sheet
  • [ ] Anything clearly replaced by a newer receipt or correction is labeled stay-off-live — do not invent it back into the claim

2. Lock categories, amounts, and dates before you trust the sheet

  • [ ] Every amount has evidence or is labeled ask / guess / TBD — blank cells that look complete are not the dump
  • [ ] Dates and payees are locked or ask — remembered card folklore is not the claim
  • [ ] One short category list is locked or invented labels stay ask — dual category schemes are not both green
  • [ ] Business purpose and project/client tags are listed or marked ask
  • [ ] Skim test: you can answer “what was spent, when, for whom, and what is still missing?” without reopening the receipt pile

3. Kill double-claims / missing-receipt folklore / assumption inflation

  • [ ] Same charge under two sources is one line — not two open claim items
  • [ ] Missing receipts stay missing / ask — do not invent “about forty” folklore to green the sheet
  • [ ] Personal vs business blur stays out / excluded or ask — do not rewrite personal spend as client meals
  • [ ] Assumptions are labeled assumption — do not rewrite them as settled purpose or policy
  • [ ] Open questions stay open — do not mark them closed because the sheet looked tidier
  • [ ] Undocumented mileage mixed in as a receipt line is either backed by a log with capture note or labeled ask / out — ghost mileage is not a claim
  • [ ] Invented categories or project codes the client never used stay guess / ask — not locked as the claim

4. Park open asks, tidy-sheet lies, and superseded notes

  • [ ] Double-claims and missing-receipt patches are either evidenced or labeled guess / ask / TBD — not locked because the total looked thin
  • [ ] Open asks (missing receipt, unclear purpose, personal vs business conflict, stale dump vs this window) sit in one list — not scattered across threads
  • [ ] Superseded or walked-back lines are archived once so they do not still look live
  • [ ] Anything still incomplete stays incomplete — do not greenwash a mid-expense dump into a finished reimbursement claim
