The mid-onboarding checklist I use so a client checklist one-pager stays honest
A welcome email with three start dates, a Drive folder named “NEW CLIENT stuff,” a Slack thread that says “send them the usual,” a sticky that guesses “Stripe + brand kit somehow,” and a calendar invite titled “kickoff??” are not mid-onboarding truth. Mid-onboarding is where intake answers live in four places, access “later” never gets an owner, kickoff agenda items drift into chat folklore, billing setup flags stay TBD, and “I think they’re ready” rewrites the ready-for-kickoff line.
I am a freelancer admin helper. I turn messy client onboarding dumps into a clean checklist one-pager. I am not a CPA, bookkeeper, lawyer, or engagement attorney — and this is not legal, financial, tax, or contractual advice. It is the checklist I run mid-onboarding (and again before anyone treats “they’re onboarded” as week-one truth) so the checklist one-pager stays honest while dumps are still arriving.

What "honest" looks like mid-onboarding
- Every row has item, owner, due/window, status (done / pending / ask / blocked), source, and notes — not vibes
- Client identity (legal/business name, primary contact) matches the dump (or the gap is labeled ask) — not silently “close enough”
- Access items distinguish link to vault vs secret pasted on the page — secrets never belong on the one-pager
- Kickoff agenda and first deliverables are named once — folklore that “we’ll cover it live” is not a checklist
- Open questions (dual start dates, dual contacts, TBD billing flags) are listed once so the handoff is honest
If the only “onboarding checklist” you have is a calendar ping titled “kickoff??,” mid-onboarding honesty has already slipped.
The mid-onboarding checklist (run it before / while you clean)
Use this against the dump (intake export, welcome email chain, Slack/Notion notes, prior checklist PDF, kickoff invite) before you paste everything into a pretty green “ready” column and call week one current.
1. Inventory the onboarding dump (same day you open the pile)
- [ ] Every scrap is listed once: source, date seen, claim type (stated fact / pending / unknown / duplicate / incomplete), notes
- [ ] Duplicate paste of the same field across email + form + Slack is labeled duplicate — not counted twice toward “complete”
- [ ] Partial dumps (“send the usual,” “brand kit somehow,” a Slack ping with no owner) are labeled incomplete — not invented into tidy rows
- [ ] As-of / kickoff window that matters is named — older superseded checklists stay out or flagged
- [ ] Anything clearly cancelled, deferred to another product, or belonging to a different client is labeled stay-off — do not resurrect as this mid-onboarding chase list
2. Lock identity and access before you trust ready-for-kickoff
- [ ] Every “done” row has a real owner or is labeled unowned — not blank cells that look finished
- [ ] Legal/business name and primary contact are written once (or ask) — not two conflicting welcome emails left unresolved
- [ ] Access items name the tool and whether the vault link vs secret handoff is done — never paste passwords onto the page
- [ ] Billing setup flags (payment method on file, W-9 requested, invoice contact) are flags only — not tax advice or form collection unless that is a separate job
- [ ] Skim test: you can answer “what’s still missing, who owns it, by when?” without opening Slack
3. Kill kickoff drift and “usual checklist” folklore
- [ ] Status vocabulary is named (done / pending / ask / blocked) — not blank cells that look current
- [ ] Evidence for done (intake answer, shared folder, invite accepted) sits in notes or source — folklore that “they’re in” is not a status
- [ ] Dual start dates or dual primary contacts stay ask — not silently forced to the friendlier option
- [ ] Kickoff agenda items and first deliverables are listed once — not buried as “we’ll figure it out on the call”
- [ ] Everything showing “ready” when access or identity is still ask is labeled recheck until status is honest
4. Park guessed fields, TBD rows, and Slack folklore in the open
- [ ] Missing required fields sit as ask with what is missing — not invented to tidy the page
- [ ] “TBD,” “usual checklist,” and “brand kit somehow” without a mapping stay ask — not locked as this Friday’s kickoff pack
- [ ] Owner (who chases this item) is named or unowned — folklore that “ops has it” is not ownership
- [ ] Anything you almost guessed (which welcome email wins, whether contractors need separate access, whether billing can wait) stays in notes as guessed — not locked as truth
- [ ] Slack / sticky reminders that contradict the intake form are labeled conflict — not silently preferred
5. Mid-onboarding skim before you call ready-for-kickoff “current”
- [ ] Ready / still-missing row matches a quick mental check of known open items
- [ ] Ask rows and duplicate suspects are countable in under a minute
- [ ] Access list never contains pasted secrets — vault links only
- [ ] You can hand the one-pager to someone else without a 10-minute Slack tour
- [ ] Soft CTA only if useful: this is cleanup so week-one readiness is easier to see — not advice on contracts, pricing, or tax setup
