The mid-period checklist I use so a deposit tracker stays honest
A Stripe export, two Venmo screenshots, a PayPal CSV with different headers, a bank deposit slip, and a Slack that says “can you track what clients paid?” are not mid-period truth. Mid-period is where the same payment lands twice (processor + bank), a refund still looks like cash, “applied” means someone typed applied, missing invoice refs hide until AR and the bank disagree, and unapplied piles grow because nobody named the period.
I am a freelancer admin helper. I turn messy deposit dumps into a clean client deposit tracker. I am not a CPA, bookkeeper, lawyer, or tax advisor — and this is not financial, tax, legal, or accounting advice. It is the checklist I run mid-period (and again before anyone treats the sheet as the cash truth) so the deposit tracker stays honest while dumps are still arriving.

What "honest" looks like mid-period
- Every row has a date received, client, amount, method, and source — not vibes
- Refunded vs applied vs pending are separated so cash-looking rows are not theater
- Bank + processor of the same payment are flagged once — not silently summed twice
- Missing invoice/job refs and unknown payers sit in notes — not dropped to make the sheet pretty
- Period that matters is named (month, quarter, custom) — older noise stays out or flagged
- Unapplied and by-client totals skim without reconstructing six exports
If the only “deposit tracker” you have is a green Applied column and a thread titled “all matched,” mid-period honesty has already slipped.
The mid-period checklist (run it before / while you clean)
Use this against the dump (Stripe/PayPal/Venmo exports, bank deposit CSVs, payment screenshots, prior AR or invoice lists) before you paste everything into a pretty template and call the period done.
1. Inventory the deposit dump (same day you open the pile)
- [ ] Every scrap is listed once: source, date seen, claim type (inbound / refund / pending / unknown), notes
- [ ] Duplicate paste of the same payment across bank + processor + screenshot is labeled duplicate — not counted as two deposits
- [ ] Partial dumps (“maybe $500 from Dana,” a screenshot with no date) are labeled incomplete — not invented into tidy rows
- [ ] Period that matters is named (this month, this quarter, custom range) — older noise stays out or flagged
- [ ] Anything clearly refunded, superseded, or “nice someday match” is labeled stay-off-applied — do not resurrect as this period’s cash list
2. Separate refunded vs applied vs pending before you trust Applied
- [ ] Status is applied / unapplied / refunded / pending / ask — not mood words or a single Applied checkbox for everything
- [ ] Applied rows have a client + invoice/job ref a human could skim — “misc” is not a match
- [ ] Ask rows name what is blocking a call (who paid, which invoice, refund status) — not “waiting on stuff”
- [ ] Refunded rows stay in a separate filter so they do not inflate period cash totals
- [ ] Skim test: you can answer “what client cash do we actually have this period?” without reconstructing six exports
3. Lock sources, dates, and clients
- [ ] Each amount has a source note (which Stripe CSV, which bank slip batch) — orphan amounts without a source are Needs-confirm
- [ ] Dates are received dates (or clearly labeled expected) — floating “sometime last month” is folklore
- [ ] Client names match a named list or are marked Needs-confirm — floating aliases that look unique are folklore
- [ ] Currency mixes are labeled — do not silently sum USD + “local” into one total
- [ ] Skim test: sorting by client shows a real deposit list, not a museum of May Venmo screenshots
4. Catch double-apply and missing-invoice ghosts
- [ ] Same date+client+amount twice → flag double-apply (or double-count) — do not invent merges without a rule
- [ ] Rows marked applied that still lack an invoice/job ref move back to unapplied or ask
- [ ] Fake greens (all Applied, no ask section) get a forced missing-invoice pass before the sheet ships
- [ ] Threads titled “quick deposit note” without a usable amount or payer are labeled artifact thin
- [ ] Skim test: missing-invoice / unapplied filter shows real gaps, not theater
5. Honesty tripwires (before you treat the sheet as cash truth)
- [ ] You did not promote vibes to “all matched” because the Applied column looked empty of red
- [ ] Refunds buried in a wall of chat paste are lifted — not left under an inbound cash headline
- [ ] Exports from six weeks ago are labeled window unverified until the period is confirmed — pretty columns do not renew stale dumps
- [ ] Incomplete / pending sections stay Needs-confirm — not silently promoted to “applied” because the sheet looked sparse
- [ ] Superseded rows have an archive note so closed refunds and old matches are not deleted into amnesia
6. Hand-back sanity check
- [ ] Sheet answers: what hit, when, from whom, which method, applied-to or remaining unapplied, which source — without opening the dump
- [ ] Needs-confirm / Applied / Unapplied / Refunded / Ask views (or filters) exist so incomplete and refunded items are not mixed into this period’s cash list
- [ ] One sentence of scope on the sheet: "client deposit tracker — not a bank reconciliation, AR system, or bookkeeping filing"
- [ ] Non-advice line present: not CPA / financial / accounting advice; confirm with their bookkeeper before treating this as gospel
- [ ] You would be willing to hand this period’s deposit totals to a bookkeeper without reconstructing Dana from a sticky note
What I do not do on this pass
I do not reconcile banks, book journal entries, file taxes, or give financial/legal advice. Mid-period honesty is about one trustworthy deposit tracker stakeholders can skim this period — not a cash office in a spreadsheet.
