The mid-register checklist I use so an equipment asset register stays honest
A purchase confirmation buried in Gmail, a photo of a serial sticker, a sticky that says “camera kit — whose?,” a warranty PDF nobody filed, and a Slack ping titled “who has the projector??” are not mid-register truth. Mid-register is where “the MacBook,” “office laptop,” and an Amazon title never link to one row, serials float free of cost and location, warranty end stays blank, dual purchase dates fight, and “I think we’re inventoried” rewrites the on-hand line.
I am a freelancer admin helper. I turn messy equipment dumps into a clean asset register. I am not a CPA, bookkeeper, insurance agent, or tax advisor — and this is not financial, tax, legal, insurance, or depreciation advice. It is the checklist I run mid-register (and again before anyone treats “we know what we own” as board-or-insurance truth) so the asset register stays honest while dumps are still arriving.

What "honest" looks like mid-register
- Every row has item/label, purchase date (or ask), cost (or ask), serial (or ask), location, warranty end (or ask), status (on-hand / disposed / unknown / ask), source, and notes — not vibes
- Item identity (canonical name + model) matches the dump (or the gap is labeled ask) — not silently “close enough”
- Serials are tied to one row — not floating free of cost, location, or warranty
- Disposed / RMA / replaced gear is labeled stay-off or disposed — not left looking on-hand
- Open questions (dual serials, dual purchase dates, TBD location, missing warranty) are listed once so the handoff is honest
If the only “asset register” you have is a Slack ping titled “who has the projector??,” mid-register honesty has already slipped.
The mid-register checklist (run it before / while you clean)
Use this against the dump (purchase emails, invoice PDFs, serial photos, warranty certificates, old inventory scraps, Slack “who has…?” threads) before you paste everything into a pretty green “fully inventoried” grid and call the register current.
1. Inventory the equipment dump (same day you open the pile)
- [ ] Every scrap is listed once: source, date seen, claim type (stated asset / disposed / unknown / duplicate / incomplete), notes
- [ ] Duplicate paste of the same device across email + PDF + Slack is labeled duplicate — not counted twice toward on-hand
- [ ] Partial dumps (“camera kit somehow,” “the laptop,” a Slack ping with no serial) are labeled incomplete — not invented into tidy rows
- [ ] As-of date that matters is named — older superseded inventories stay out or flagged
- [ ] Anything clearly sold, RMA’d, replaced, or belonging to a different person/client is labeled stay-off — do not resurrect as this mid-register chase list
2. Lock identity and serials before you trust on-hand
- [ ] Every “on-hand” row has a real canonical name or is labeled ask — not three ghost rows for the same MacBook
- [ ] Serial / asset tag is written once (or ask) — not two conflicting stickers left unresolved
- [ ] Purchase date and cost are numbers/dates (or ask) — not “about last year” or emoji
- [ ] Location is named (home office / co-working / client site / storage / ask) — folklore that “someone has it” is not a location
- [ ] Skim test: you can answer “what do we own, where is it, which serials are missing?” without opening Slack
3. Kill warranty silence and disposed fog
- [ ] Status vocabulary is named (on-hand / disposed / unknown / ask / recheck) — not blank cells that look current
- [ ] Evidence for on-hand (photo, receipt, handoff note) sits in notes or source — folklore that “it’s in the closet” is not a status
- [ ] Dual purchase dates or dual serials stay ask — not silently forced to the friendlier option
- [ ] Warranty end / registered? is dated or ask — blank warranty is not “covered”
- [ ] Everything showing “on-hand” when the dump says sold/RMA/replaced is labeled recheck until status is honest
4. Park guessed fields, TBD rows, and Slack folklore in the open
- [ ] Missing required fields sit as ask with what is missing — not invented to tidy the sheet
- [ ] “TBD,” “camera kit somehow,” and “whose?” without a mapping stay ask — not locked as this Friday’s inventory
- [ ] Owner / custodian is named or unowned — folklore that “ops has it” is not ownership
- [ ] Anything you almost guessed (which Amazon title wins, whether accessories share a row, whether warranty auto-renews) stays in notes as guessed — not locked as truth
- [ ] Slack / sticky reminders that contradict the purchase email are labeled conflict — not silently preferred
5. Mid-register skim before you call on-hand “current”
- [ ] On-hand / disposed / unknown counts match a quick mental check of known open items
- [ ] Ask rows and duplicate suspects are countable in under a minute
- [ ] Serial list never invents numbers — blanks stay ask
- [ ] You can hand the register to someone else without a 10-minute Slack tour
- [ ] Soft CTA only if useful: this is cleanup so gear, serials, and warranty windows are easier to see — not advice on depreciation, insurance valuation, or tax timing
