A File Doesn't Know When Its Job Is Done

A project ends.

A contract expires.

A meeting finishes.

A consultant moves on.

But the file?

The file doesn't know any of that.

Once information has been shared, it can continue existing long after the reason for sharing it has disappeared.

Think about a typical business project.

A company shares financial documents with an external consultant.

The consultant needs them for three weeks.

The project finishes.

The consultant's work is complete.

But what happens to those documents?

The files may still be sitting in an inbox.

A downloaded copy may still be on a laptop.

A shared folder may still be accessible.

Someone may still have a link.

And months later, nobody may even remember that access still exists.

That's an interesting problem.

Because businesses are very good at defining why information should be shared.

But they're often much less deliberate about defining when that sharing should stop.

Information Has a Purpose
Most sensitive information is shared for a reason.

A lawyer needs documents to review a case.

The information has a purpose.

But when that purpose ends, the information doesn't automatically disappear.

“Who can access this file?”

“Why can they still access it?”

That distinction matters.

Someone might have been the right person to access a document last month.

Business relationships change.

But digital access often remains unchanged simply because nobody remembered to change it.

Imagine giving someone a key to a meeting room for a specific project.

The project ends.

Would you expect them to keep that key indefinitely?

Probably not.

Physical spaces naturally have boundaries.

Digital information often doesn't.

A file can quietly remain accessible without anyone noticing.

No alarm goes off.

No door stays visibly open.

Nothing tells you:

“This access is no longer necessary.”

The information simply remains there.

Secure information sharing shouldn't only answer:

Who gets this?

It should also consider:

Why are they getting it?

What should they be able to do with it?

How long should the access remain relevant?

What happens when the purpose is over?

That's a different way of thinking about information security.

Instead of treating access as something you grant once and forget, you treat it as something connected to the purpose behind the share.
