WhatsApp Business for Restaurants: Menus, Reservations and Repeat Orders

Originally published on GrowthPilot

Your regulars are already on WhatsApp. For a restaurant or cafe, that makes it one of the simplest places to share a menu, confirm a table, and invite a happy customer back — without paying a marketplace fee on every order.

1. Set up your profile properly

Use one dedicated business number, ideally the same number shown on your menus and window. Complete every profile field: address, hours, description, and a link to your menu or website. Then add a short greeting message for new contacts and an away message for busy or closed hours, so customers always know what to do next.

Save quick replies for the questions you answer daily, such as opening hours, delivery areas, today's specials, and how to book. Two taps instead of retyping the same answer saves real time during service.

2. Build a menu catalogue customers can order from

The catalogue is the heart of WhatsApp ordering. Add clear photos taken in natural light, honest descriptions, and up-to-date prices. Group dishes logically — starters, mains, desserts, and drinks — and mark items as unavailable when they sell out.

Make ordering effortless: tell customers to browse the catalogue, add their dishes, and send the message. Confirm the order, total, and pickup or delivery time in a short reply.

3. Take reservations without the chaos

Phone bookings can interrupt service and get written down wrong. Instead, ask for the date, time, party size, and name in one message, then confirm it in writing. Use WhatsApp labels to stay organized, for example for upcoming reservations, confirmed tables, and customers awaiting a reply.

A short reminder on the day helps reduce no-shows and gives customers an easy way to change their plans.

4. Turn one visit into repeat orders

Bringing back a happy customer usually costs less than finding a new one. Use broadcast lists carefully and sparingly — only for contacts who have saved your number, and only for genuinely useful updates, such as a new dish, a limited special, or a quiet-week offer.

Make reordering a habit. Teach regulars a simple phrase, such as "the usual," and save their usual orders as quick replies. After a great meal, a brief thank-you message can also encourage a review and a return visit.

5. Connect WhatsApp to everything else

Add a click-to-chat link to your Google Business Profile, social profiles, website, and printed menus, so customers can reach you wherever they find you. Keep a simple weekly routine: update the catalogue, check prices and availability, and reply to unanswered messages.

The bottom line

WhatsApp Business works for restaurants because it is direct, personal, and already part of customers' daily routines. Start with a complete profile, a clear catalogue, and a simple reservation reply — then use short, welcome messages to turn first-time visitors into regulars.
