Proactive agents need meeting-safe defaults
Microsoft’s September 2026 Teams/Copilot updates highlight Facilitator’s ability to detect knowledge gaps mid-meeting and answer via permitted web search — with answers landing in meeting chat (UC Today, Microsoft Message Center MC1409304). Targeted release was moved toward November with wider availability later in Q4; it requires Microsoft 365 Copilot (Premium), manual meeting enablement, and allowed Copilot web search. Separately, third-party agents (e.g., GitHub Copilot, Atlassian Rovo) continue rolling into the Teams admin centre, with broader GA expected around October.
Design lessons for agentic collaboration
1. Manual enablement is a feature. Requiring hosts to turn Facilitator on per meeting creates an explicit social contract: this room allows agent speech. Copy that pattern for any proactive bot in MENA enterprises where recording and AI note-taking remain sensitive.
2. Admin centre as the product surface. Third-party agent rollout through Teams admin tooling matters more than demo videos. IT needs allowlists, data-boundary toggles, and audit of what an agent said in chat.
3. Frequency discipline. Microsoft notes answers are typically infrequent. Proactive UX that fires every silence will be disabled on day two. Prefer high-precision triggers (unresolved question patterns) over constant “helpfulness.”
4. Web search permission is a trust boundary. Tie mid-meeting search to the same Copilot web policies you already fight over in email. Do not invent a second policy plane.
