Overview
We had a huge amount of Outlook email data built up over nine years plus from various departments such as Finance, Human Resources, Sales, Legal and Customer Support. While working on a storage optimization project we found that a good chunk of our mailbox size was consumed by attachments and not e-mail messages.
This project involved 124 Outlook PST files containing a total of approximately 210,486 email attachments with a total attachment size of 386 GB. The goal was to extract attachments without affecting email content, folder structure, metadata or mailbox accessibility. We tried a number of manual techniques before developing a dedicated extraction solution to find the most practical solution.
My Difficulties
The attachment extraction project had several operational problems.
- PST files from 650 MB to 9.4 GB (124 files)
- More than 210,000 attachments had to be deleted.
- Attachments included PDF, DOCX, XLSX, ZIP, JPG and CAD files.
- Email metadata and links to attachments must be maintained.
- Attachment folders for different departments were required.

Methods We Tried
Manual Method 1 – Save Attachments One at a Time
Result: The small mailboxes were managed easily and the attachments were saved successfully.
Conclusion:Individual processing of more than 210,000 attachments was impossible and took several weeks of continuous work.
Manual Method 2 – Saving Files Using Outlook
Result: Some incoming attachments can be automatically saved.
Conclusion: This method did not work for historical PST archives and required complex rule configuration per mailbox.
Method 3 – Manually drag and drop attachments
Result: Good for downloading some attachments.
Conclusion: The folder organization was inconsistent, the duplicate files were increasing, and it was difficult to maintain the original mailbox structure.
Method Based on Tool
