Stop Staring at Blank Client Emails — 40 Prompts Freelancers Actually Use
Practical freelance advice by Kornél Varga — sharp, ethical, no hype.
You open ChatGPT. You type “write a cold email to a marketing agency.” You get something that could have been sent to a thousand agencies on the same Tuesday. Polite. Empty. Spam with better grammar.
That’s not an AI problem. That’s a blank-brief problem. Vague input → generic output → another twenty-minute rewrite. The blank page just moved one tab over.
This piece is about a prompt operating system: fill-in-the-blank prompts that force specificity before the model writes. No income guarantees. No “10x your pipeline.” Just less staring, fewer rewrites, and copy that still sounds like you.
If you want outreach patterns that don’t sound like spam first, start here: 5 Outreach Messages That Don't Sound Like Spam (Free Templates). This article is the drafting layer on top of that discipline.
Why generic AI output happens
Freelancers blame the model. It’s doing what you asked: inventing a plausible email from almost no facts.
Three failure modes:
- No client-specific slot — You never forced a real observation, offer edge, or constraint into the prompt.
- No voice constraints — Without “short,” “no fake urgency,” and “sound human,” you get LinkedIn-bro filler.
- No pipeline — One mega-prompt for “get me clients” mixes outreach, scoping, and delivery. Garbage in every stage.
Ethical AI for client work means you still decide what’s true and what to send. Prompts structure judgment — they don’t replace it.
The Prompt OS idea (pipeline, not magic)
A Prompt OS is a reusable set of fill-in-the-blank prompts in the order freelancers actually work:
Research → Outreach → Proposal → Scope / kickoff → Delivery updates → Follow-up / close
Each prompt has:
- Hard blanks you must fill (name, observation, outcome, constraint)
- Tone rules (length, no scarcity theater, one ask)
- Output shape (bullets, subject + body, email vs LinkedIn)
You don’t “prompt engineer.” Fill slots once per lead, paste into ChatGPT or Claude, edit like an adult. Empty blank = not ready — same rule as the outreach templates.
AI Freelancer Prompt OS ($19) has 40 of these across the pipeline, plus a guide and cheat sheet. Three examples below so you can feel the pattern.
Example 1 — Outreach (fill-in-the-blank)
Use when: you’ve done 60 seconds of research and can name one polite, specific detail.
ROLE: You are helping me draft a short freelance outreach email.
I will send it myself. Do not invent facts I didn't provide.
CLIENT / COMPANY: [Name + company]
CHANNEL: [email / LinkedIn]
SPECIFIC OBSERVATION (must be true): [one thing I noticed]
WHAT I HELP WITH: [type of client] achieve [concrete outcome]
DELIVERABLE: [e.g. landing page audit / booking flow fix]
TIMEFRAME: [e.g. usually live in ~2 weeks]
ONE ASK: [3-bullet plan / teardown / 15-min call]
TONE: human, direct, no “hope this finds you well,” no fake urgency,
no “I help 500+ companies.” Max ~120 words. Subject line optional.
Write: subject (if email) + body. Leave [brackets] only if I left a blank empty.
Why it beats “write a cold email”: the model can’t skip the observation. Empty observation = you stop.

Example 2 — Proposal (fill-in-the-blank)
Use when: they replied, shared a problem, and you need a clear one-pager — not a novel.
ROLE: Draft a concise freelance proposal section I can paste into email or Doc.
Do not invent case studies, metrics, or clients I didn't list.
PROSPECT: [Name / company]
PROBLEM IN THEIR WORDS: [quote or paraphrase]
MY APPROACH (3 steps max): [1] [2] [3]
DELIVERABLES: [list]
TIMELINE: [dates or week ranges]
INVESTMENT: [price / range / payment terms]
WHAT'S OUT OF SCOPE: [explicit]
NEXT STEP: [e.g. reply yes → kickoff call Thursday]
PROOF I CAN USE (only if true): [1–2 past results with numbers I own]
TONE: calm, specific, no hype. Prefer bullets. Under ~350 words.
Output: Problem → Approach → Deliverables → Timeline → Investment → Next step.
Why it works: scope and out-of-scope are forced early. Fewer “I thought that was included” threads. Still your price, your proof, your send.
Example 3 — Weekly update (fill-in-the-blank)
Use when: the project is live and silence is riskier than a short status note.
ROLE: Draft a weekly client update email from me (freelancer) to the client.
Do not invent completed work or blockers.
CLIENT: [Name]
PROJECT: [name]
THIS WEEK DONE: [bullets — only finished items]
IN PROGRESS: [bullets]
BLOCKERS / DECISIONS NEEDED: [what I need from them, by when]
NEXT WEEK PLAN: [2–4 bullets]
RISKS (optional, honest): [ ]
TONE: clear, calm, no apology theater unless I actually slipped.
Under ~180 words. Subject: Week of [date] — [Project]
Flag anything that sounds vague and ask me to fill it before finalizing.
Why it works: clients hate mystery. Constrains you away from both oversharing and “things are progressing!” fog.
How to run the pipeline without becoming a bot
- Fill blanks offline — notes app, CRM row, or tracker from the free pack.
- Generate once — one prompt, one stage. Don’t chain five stages into one mushy request.
- Edit for truth — delete anything you wouldn’t say on a call.
- Send as yourself — AI drafts; you own the reputation.
- Track — date, channel, follow-up. Process beats vibes.
If a prompt asks for a metric you don’t have, leave it blank or cut the section. Invented social proof is still a lie with nicer punctuation.
What the full Prompt OS includes
AI Freelancer Prompt OS — $19
- 40 fill-in-the-blank prompts for ChatGPT & Claude
- Stages from first touch through delivery and follow-up
- Short guide + cheat sheet so you’re not hunting for “the right prompt” mid-deadline
It’s a drafting system — not a client magnet. Offer quality, timing, and follow-through still matter.
Stack it with the rest (optional)
| Piece | What it is | Link |
|---|---|---|
| Free outreach pack | 5 human templates + checklist | Gumroad · GitHub |
| Prior Dev.to article | Patterns + abbreviated templates | Read it |
| Prompt OS | 40 prompts + guide ($19) | Gumroad |
| Client Machine | Offer, tracker, scripts, proposals ($27) | Gumroad |
| Bundle | Both paid products ($39, save $7) | Gumroad |
Free pack alone is fine. Prompt OS when blank emails are the bottleneck. Client Machine for the wider process — zero ad-spend framing, no income promises.
Bottom line
Generic AI copy is what you get when you skip thinking before generate. Fill the blanks that matter — observation, offer, ask, scope, status — then let the model draft the connective tissue. Ethical bar: truth over polish, one ask over a dump, your name on the send.
Stop staring. Fill three slots. Generate. Edit. Send.
