I Built an n8n Client Intake Workflow Pack with Google Sheets CRM and WhatsApp Follow-Up Structure

Client intake is one of the most underrated parts of freelancing and agency work.

Many service providers can deliver the work, but their intake process is messy.

A typical flow looks like this:

  • client sends a WhatsApp message
  • requirements are discussed in chat
  • important details get buried
  • no proper CRM record is created
  • follow-up dates are forgotten
  • onboarding steps are repeated manually
  • client information is scattered across messages, emails, and sheets

This creates confusion before the actual work even starts.

The problem

When client intake is not structured, it affects everything after that:

  • unclear requirements
  • missed follow-ups
  • poor project handover
  • delayed proposals
  • weak client experience
  • no central tracking sheet
  • repeated manual work

For freelancers and small agencies, this can directly affect sales and delivery quality.

The simple workflow idea

A better client intake system should help you:

  1. collect client details
  2. store them in a tracker
  3. assign status and priority
  4. document requirements
  5. prepare follow-up actions
  6. create a basic CRM-style view
  7. use reusable messages and prompts

This does not always require a complex SaaS tool.

A simple combination of n8n, Google Sheets, WhatsApp follow-up structure, and documentation can be enough for many small teams.

What I built

I created an n8n Client Intake Workflow Pack for freelancers, agencies, consultants, and automation builders.

It includes:

  • client intake workflow structure
  • Google Sheets CRM tracker idea
  • WhatsApp follow-up automation structure
  • setup guide
  • client tracking format
  • reusable workflow documentation

The goal is to help small teams organize client intake without starting from zero.

Who this is useful for

This can help:

  • freelancers
  • consultants
  • small agencies
  • automation service providers
  • virtual assistants
  • business operations teams
  • people learning n8n workflows

I have listed the ready-made pack on Gumroad for anyone who wants to check it out.
