Smart Scout Manager: How to Run Your Scout Troop or Association from One Place

Smart Scout Manager is a platform that brings the running of a scout troop into one place: members, activities, finances, equipment and reports. AI drafts the paperwork, such as minutes, reports and plans, and the leader reviews it and decides. There is a free version, and a separate version for associations and councils.

We built it at ScoutHub Lab for a simple reason: we saw leaders spending their time on paperwork instead of with the kids.

Why do scout troops struggle with paperwork?

Scouting is a large movement. The World Organization of the Scout Movement says it has more than 60 million active members in 176 countries and territories [1].

Behind every troop is a volunteer leader. After the meeting and the activity, more work waits: member lists, attendance, the cash box, equipment, and the report at the end of the term and the year.

When a new leader takes over, many details get lost because the records lived in a notebook or on one person's phone. So we chose to keep everything in one record that stays with the troop even when leaders change.

What does the platform manage?

  • Members and leaders. Digital records and printable ID cards that can be issued in one click.
  • Programme. A dashboard that shows the troop's activities and statistics on one screen, with annual programme planning and goal indicators.
  • Money and equipment. The cash box, expenses and equipment, with records you can audit.
  • Minutes and reports. Ready-made admin forms, quarterly and annual reports, meeting minutes and instant certificates.
  • Scouting knowledge. A skill-badge reference, a library of traditions and ceremonies, and child-protection guides.
  • Parents and the troop's public face. A parent portal, and a public troop website that shows achievements and welcomes new members.

Some of these features belong to the paid plans. The details are on the platform's page.

How does AI help without replacing the leader?

AI in the platform writes drafts. It helps with more than 12 tasks, including minutes, reports, plans and design material. The leader reads, edits, then approves. The decision is theirs, not the tool's.

We hold to this rule in everything we build: the tool gives the leader time back, and the leader spends it with the kids. We wrote about this idea in detail in Human First.

What does it offer associations and councils?

Associations and councils have a separate Enterprise plan, priced to fit the need. It adds dashboards across several troops, consolidated reports, badge approval, a training-bag generator, a scout nickname system, circulars, financial projects and media management.

The idea is that an association's officer needs one picture of what is happening across all troops, instead of collecting it from scattered reports.

How do we protect members' data?

Troop members are mostly children and teenagers, so we handle their data carefully. The scouting library inside the platform also includes child-protection guides.

Google Calendar sync is one example of what we do:

  • It is optional, and it asks for the narrowest permission possible: access only to the calendar the app itself creates.
  • The app cannot see your other calendars, edit them or delete their events.
  • The access token stays in your browser and is never sent to our servers.
  • We do not store calendar data, share it, sell it, or use it for advertising or for training AI.
  • You can revoke access from your Google account at any time.

We follow Google's API Services User Data Policy, including its "Limited Use" requirements, which prohibit transferring user data to advertising platforms [2]. In the database we use PostgreSQL Row Level Security.

How do you start?

Go to ssm.scouthub.dev. The platform works in Arabic and English, on computers, phones and tablets (Windows, Mac, Android and iOS).

The free version includes member and leader records, admin forms, the badge reference, equipment and cash logs, and the full scouting library. From there you can move to the plan that fits your troop or association. You will also find a short profile on the project page.

Frequently asked questions

Is Smart Scout Manager free?

There is a free version with the core features listed above. The paid plans add things like the parent portal, AI planning and unlimited records, and associations have their own plan.

Does it suit large associations and councils?

Yes. That is the purpose of the Enterprise plan: dashboards across troops, consolidated reports, circulars and badge approval.

Does AI replace the leader?

No. It writes drafts, and the leader reviews them and decides.

Does the platform read all of my Google Calendar?

No. It asks for access to one calendar that it creates itself, and it cannot see your other calendars.

Which languages does it support?

Arabic and English.

Who builds the platform?

ScoutHub Lab, a digital innovation lab that builds platforms for scouting, education and community work.
