The "while you're here" problem: getting small extras approved without the awkward talk

Every contractor knows this moment. You are on site, mid-job, and the customer says: "While you're here, could you also take care of this other thing?"

It is usually a small thing. You say a price out loud, they nod, you do the work. Then the invoice goes out and the extra line item turns into a conversation you did not want to have. They remember the nod differently, or not at all.

The fix is not a bigger contract or a longer email. It is getting the extra approved in writing, on the spot, before the work starts.

Why the verbal yes fails

Nobody is being dishonest. The customer is thinking about the leak or the door, not your price list. A number said across a room has nothing attached to it: no scope, no date, no record of what it covered. Two weeks later, both sides genuinely remember it differently.

A written quote for the extra, approved before you pick up the tool, removes the argument. Not because anyone plans to fight about it, but because there is nothing left to remember wrong.

What works in practice

The habit that sticks is the one you can do from your phone in about a minute, while the customer is standing there:

  1. Write the extra as its own small quote: what you will do and what it costs.
  2. Send it as a link.
  3. The customer opens the link, reads it, and approves it right there.

That last step matters. If approval needs an app, an account, or a printer, it will not happen on a doorstep.

What we built for this

We build JobNeatly, so we are not neutral here, but this exact moment is why it exists. You create the estimate or the change on your phone, the customer gets a link, and they approve from that link with no app and no account on their side.

Estimates are free. Your first 3 approvals are free too, so you can try it on real jobs. After that, approvals are $9 each or $19 a month.

If the "while you're here" conversation has ever cost you money or a customer, try it on the next small extra: https://changesnap.onrender.com/

The small extras are often the best margin on a job. They are also the easiest to lose to a forgotten nod. A one-minute approval keeps them.
