WhatsApp Enquiry Handoffs for Owner-Run Dubai Businesses: Practitioner Notes

The customers here are not enterprises. They are owner-run shops, clinics, restaurants and brokers whose "CRM" is often a Google Sheet and a phone. When one of them asks for an AI automation agency UAE WhatsApp CRM focus, the interesting engineering is usually not the AI. It is three small details that decide whether the owner trusts the system.

1. The reply window versus templates

On WhatsApp, once a customer messages you, you can reply freely for a limited window. Outside it, you need approved message templates. For an owner this means: a late follow-up to a Friday enquiry may need a template, and a rejected template must raise an alert, not fail silently. We route that alert to a person, not a log nobody reads.

2. Duplicate events

Providers retry webhooks, and customers send the same message twice. Treat every inbound event as possibly a duplicate. Use a stable key such as the provider message id plus the object it touches, and upsert instead of inserting. In owner terms: one customer, one booking, not two.

3. A tiny ownership state machine

Free-text notes do not scale past a busy Saturday. If the system cannot confidently assign an owner, it puts the enquiry in a visible "needs a human" list. It never guesses.

4. Approval before money language

Anything mentioning a price, a discount, a delivery date or an available appointment slot waits for one tap from the owner or manager. That tap is the whole safety model for a small business with no legal team.

Keeping it owner-sized

Sheets are fine as a data store for a small shop. Our standard line is: We integrate with all major CRMs (for example HubSpot, Zoho, Salesforce, Pipedrive and Freshsales, plus custom CRMs or Google Sheets setups) and work with all major WhatsApp Business providers and the official WhatsApp Business API (for example Meta Cloud API, Twilio, Gupshup, Interakt and WATI).
