Building a Custom Staff Attendance System: A Web Developer's Case Study

Hello everyone! I am Umair Arshad, the full-stack web developer and designer at SalesWaly.

Recently, at SalesWaly, we needed a robust, tailor-made solution to track employee check-ins, check-outs, and overall daily attendance. While there are many SaaS tools available, we wanted a custom platform seamlessly integrated with our existing database and Google Sheets workflow.

In this article, I will share how I built our custom Staff Attendance Management System from scratch using PHP, MySQL, and Next.js.

1. The Frontend Layout

As a developer who loves clean UI and interactive designs, I designed a minimal dashboard with a dark mode glassmorphism theme. The goal was to make the clock-in/clock-out process as frictionless as possible for the staff.

2. Database Architecture (MySQL)

The backbone of the system is a highly optimized MySQL database. I structured the tables to capture:

  • Employee IDs and details
  • Timestamps for precise check-in and check-out logs
  • Automated status flags (Late, On-Time, Absent)

3. Backend Logic & Integrations (PHP)

Using custom PHP routing, I handled the form submissions securely. One of the key features I implemented was an automated script that syncs the daily attendance logs directly into a secure Google Sheet for our HR and management teams to review instantly.

Final Thoughts

Building this custom attendance platform for SalesWaly has significantly streamlined our internal operations. If you are a developer looking to build a similar internal tool, my biggest advice is to map out your database structure carefully before writing a single line of frontend code.
