A suggested order for a small team starting from scratch. The sequence is practical advice; each feature named is anchored to Zoho's documentation.

Week 1: foundations

  • Decide your stages and who sells what, and write down what moves a deal to the next stage (practical advice).
  • Set up users, profiles and roles. A profile controls what a user can do, and roles represent your hierarchy and drive data visibility. Zoho ships Administrator and Standard profiles and CEO and Manager roles, higher roles see subordinates' data, and peers do not see each other's by default. Give each person the minimum access they need (practical advice).
  • Set up pipelines and stages. Zoho's Standard edition and above supports multiple sales pipelines, and deals record probability at each stage.

Week 2: get your data in

  • Import from CSV, XLS or XLSX (VCF for leads, contacts and users), with a maximum file size Zoho states, a unique field to prevent duplicates, and the Import Records permission. Zoho recommends importing a small subset first. For moving everything from another CRM, Zoho points to its separate data migration tool.
  • Clean the file before you import it (practical advice).

Week 3: connect and route

  • Email: connect your mailbox through IMAP, which Zoho recommends, or POP3, with OAuth available for Outlook, Gmail and Office 365. Emails then appear under the record's Emails list.
  • Assignment rules: route new leads by criteria with round-robin across reps. Zoho notes they apply only to records created through import, web forms and API, not manual entry.

Week 4: see it and use it

  • Reports and dashboards: build a dashboard in the Analytics tab and share it by user, role or group. Start with three to five numbers you will check weekly (practical advice).
  • Mobile app: roll out the Android and iOS app. Zoho says offline updates sync later.
  • Review what people are skipping, then adjust fields and stages rather than adding more (practical advice).

Helpful order. Cleaning up the contact list before importing saves so much pain later. Bad data in week one tends to stick around for years.
