B2B Store Inquiries Are Not Becoming Orders How to Connect Quotes Confirmation and Shopify Transactions

A buyer selects a lighting model, enters a quantity, and provides a delivery destination. The sales team receives an email and asks for the specifications again. A quote goes out. The buyer replies, “Use the previous version.” When the team prepares the transaction, the quantities, freight assumptions, and receiving company no longer match.

The storefront has captured interest, but the purchasing information has not become an executable transaction. More traffic will not resolve a quote that cannot be checked against the customer's selection or handed to the warehouse reliably.

A useful B2B storefront keeps the buyer's request, the seller's quotation, the confirmed version, and the resulting order connected. Brand design, Shopify implementation, CRM, and ERP integration should support that continuity.

This guide uses a hypothetical commercial lighting supplier serving distributors and project buyers. It offers lights with different power ratings and mounting options. The company, quantities, and workflows illustrate an implementation proposal; they are not WESWOO client work or measured commercial results.

1. Identify Where the Inquiry Stops

“Many inquiries, few orders” describes an outcome but does not identify the work required. The team needs to know what prevents a request from progressing.

A practical proposed workflow can distinguish a received request, missing information, a request ready for quotation, an issued quote, a confirmed version, a created order, and the later payment and fulfillment states. These states should have evidence. An issued quote needs a saved version. A created order needs a real order identifier.

This is a business model to configure in an existing CRM or develop in an appropriate application. It is not a complete sales pipeline that Shopify automatically creates. The CRM can own qualification and responsibility. A quotation service can own quote versions and line details. Shopify can own the commerce records. The ERP can own the inventory and fulfillment records for which it is responsible.

Before redesigning the site, review a small set of stalled requests. Does each specify an actual product? Can the requested quantity be translated into the packaging used by the warehouse? Has delivery been checked? Does the buyer know how to confirm the quotation? Is that quotation still current?

If requests frequently lack specifications, improve selection and data collection. If issued quotes do not provide a clear confirmation action, improve the quotation experience. Different problems require different changes.

2. Continue the Purchasing Task Introduced by the Content

A lighting collection can appear in installation tutorials, distributor information, project examples, and specification comparisons. Those entry points bring buyers with different tasks.

Someone watching an installation tutorial needs mounting requirements and compatible components. A distributor needs the supply range and a way to reorder. A project buyer may need several models and a place to explain site requirements.

The destination should continue that task. Installation content can lead to the relevant model and mounting guidance. Distributor content can lead to the wholesale ordering entry point. Project content can lead to a product selection and inquiry page. Sending every visitor to the homepage forces the buyer to reconstruct the task.

In a Shopify theme, JSON templates can organize these pages while sections and blocks present the product information and purchasing actions. Product details should read from the established merchandise records where possible. A custom inquiry list still requires its own selection and submission behavior. Shopify theme architecture

For each content entry point, define the promised action and test whether the destination supports it. “Compare the models” should lead to meaningful differences. “Discuss a project” should retain the products the buyer was considering. “Request a quote” should state what information is needed and what happens after submission.

Referral parameters can identify a channel or content version, but they do not establish buyer identity or purchasing permission. Content distribution and commerce-channel connections should be tested separately.

3. Collect Information That the Sales Team Can Use

The hypothetical supplier's inquiry list needs to answer four questions.

What is being requested? Keep real product and variant references alongside understandable specifications. A buyer's project name is useful context, but it cannot replace merchandise identity. Where a selection is unresolved, preserve that uncertainty and explain what still needs to be chosen.

How much is being requested? Show the input unit and packaging relationship. Sixty individual lights must not become sixty cartons when information reaches another system. If the quantity is tentative, mark it accordingly rather than converting the inquiry into a seemingly complete order.

Where must it be delivered? Collect enough location information to assess the market and service area first. Confirm the detailed delivery and billing information at the stage where it is needed. An initial question about a model does not necessarily require every field used for invoicing.

What help does the buyer need? Distinguish samples, standard replenishment, and project selection. Request files only when they have a defined purpose. Explain the accepted format, who will use the material, and what the buyer should expect next.

The form should retain these choices when a submission fails. Returning the buyer to an empty form after they selected several models creates unnecessary work. A validation message should identify the field or line that needs attention while leaving the other information intact.

On the server, save the request before returning its reference number. Email can notify the team, but it should not be the only record. If email delivery fails, the inquiry should remain available. Test duplicate clicks, connection timeouts, and repeated notifications before release.

The aim is to let sales continue the conversation from the information already supplied.

4. Preserve the Connection Between the Quote Buyer and Merchandise

A proposed quotation service can maintain a request reference, quotation reference, version, company and purchasing location, product variants, quantities and units, currency, quoted prices, delivery conditions, validity period, and unresolved items.

The quotation version is an application-level business record. It can live in an existing CRM or another suitable service, depending on access control, retention, and integration needs. A cart note alone is not a quotation system with history, permissions, and version control.

Shopify's B2B model distinguishes the company, company location, and company contact. The purchasing location is part of the transaction context. Sales should confirm which location the request belongs to rather than treating every branch sharing an email domain as the same buying context. B2B objects and applications

For example, a distributor's showroom and warehouse may receive goods at different addresses and follow different purchasing arrangements. The quote should make the selected location visible. A change of location should trigger another review of the relevant conditions.

A hosted Shopify theme can read the appropriate customer and current-location information through Liquid. However, displaying a company name after sign-in is not a reason to trust an arbitrary company-location identifier supplied by the browser. A quotation service must verify whether the authenticated buyer can access the target request. Liquid customer object

Permissions also affect sharing. A buyer may want to forward a quotation to a colleague. Decide whether that link exposes only an approved quotation view, requires authentication, or provides another controlled form of access. Do not let a convenience link expose unrelated company information.

5. Make Confirmation Refer to a Specific Version

Suppose the buyer initially requests 60 lights, then changes the request to 72 and adds mounting components. If the seller keeps editing one undifferentiated quotation while the buyer opens an earlier email, the parties may be approving different details.

A clearer implementation retains versions and their changes. The current quote displays the complete proposed transaction. An older version identifies that it has been superseded and directs the buyer to the current version. Confirmation is associated with the quotation reference and version, together with the details displayed at confirmation time.

The buyer should be able to review the merchandise, quantities, units, currency, amount basis, delivery conditions, validity period, and unresolved matters. If freight remains unverified, show that status clearly. Do not present a completed total and introduce another cost later without a clear explanation and confirmation step.

Changing the quantity or delivery location should invalidate the previous confirmation and return the quote to review. The seller's notification should explain what changed, not merely say that another form was submitted.

For a project purchase, this can be supported by a comparison between versions: which lines changed, which conditions changed, and whether another review is required. It does not require an elaborate interface to be useful, but it does require reliable underlying records.

Version control, confirmation behavior, and access to historical quotations must be supplied by the quotation application or business system. Adding a PDF download button does not implement that process.

6. Connect Confirmation to a Real Shopify Transaction

After the quote is confirmed, the implementation usually needs to distinguish two routes.

Standard merchandise can continue through online purchasing. The authenticated B2B buyer should be operating in the correct purchasing context, choosing actual variants, reviewing the cart, and entering the real checkout. A retail price with a separate text label saying “wholesale price” is not an adequate substitute for consistent commerce pricing.

A transaction requiring seller review can use a draft order. Shopify supports B2B draft orders and invoice-based payment. The integration should retain the relationship between the quotation version and the draft order, then link the resulting order to the same confirmed request. Shopify B2B draft orders

A draft order, a created order, and a paid order are different business states. Having a draft identifier does not establish that payment has been collected. Creating an order does not, by itself, establish that the warehouse should release goods. The release condition needs to follow the actual payment, agreed terms, and fulfillment rules.

Also distinguish seller review from the buyer's internal procurement approval. A merchant checking a submitted order is a different process from a customer's manager or finance team approving a purchase. If the buyer needs that additional workflow, evaluate the appropriate application or custom implementation rather than attributing it to the merchant's review button.

Check the current store plan before selecting an implementation. Shopify B2B is available across Basic, Grow, Advanced, and Plus, while catalog assignment and some payment capabilities differ. A feature available under one plan must not become an unconditional promise for every store. Shopify B2B features by plan

7. Hand Defined Business Facts to the ERP

An inquiry does not necessarily need to create an ERP sales order immediately. Decide when the ERP should receive customer information, when it should receive a transaction, when purchasing or fulfillment can begin, and which system controls subsequent changes.

For the hypothetical supplier, establish mappings between Shopify variants and ERP item codes, buying companies and ERP customer records, and purchasing locations and delivery records. A quotation description such as “Light A” must not leave the warehouse to guess which SKU was intended.

Confirm units as well as quantities. If the storefront collects individual units while the warehouse picks cartons, the conversion needs an agreed rule. Partial cartons or special packing should be addressed in the confirmed transaction and fulfillment instructions.

The integration should save the originating event, target record, and processing outcome. After a timeout, check whether the target record already exists before retrying. A repeated event must not create another ERP order. Updates, cancellations, and refunds need their own defined handling.

When using Shopify Webhooks, implement the applicable authentication and subscription requirements, and handle repeated delivery, recovery, and reconciliation in the integration service. The notification starts processing; the integration still owns the subsequent business rules. Shopify Webhooks

Keep sales and operations aware of unresolved synchronization. A successful storefront confirmation should not conceal an ERP rejection. Provide a way to identify the affected transaction and continue work without creating a duplicate record.

8. Test a Request That Changes During the Process

Acceptance should test more than whether the form sends an email. Use one purchasing request and deliberately change it as it progresses.

Test Evidence to check
Enter from a specific social post The destination continues the same purchasing task and retains the relevant source context
Change the lighting specification The inquiry contains the correct variant instead of the previous selection
Increase the request from 60 to 72 units The quotation is reviewed again and the previous confirmation is no longer applied
Select another purchasing location Permission, address, and transaction context are checked again
Open an older quotation link Its status is visible and it does not silently execute obsolete line details
Fail the notification email The saved inquiry remains accessible by its reference
Time out an order-creation request The integration checks the actual outcome before attempting another creation
Deliver an ERP event twice The transaction maps to one intended business record

Repeat the buyer-facing path on a phone. The selected products, quoted conditions, and next action should remain readable. Also test shared quotation access and the treatment of company or personal information.

These checks establish whether the systems agree about one purchase. A collection of attractive page screenshots cannot establish that agreement by itself.

9. Organize the Work Around a Complete Purchasing Path

A manageable first release can focus on one merchandise group and one type of purchasing task. The team does not have to automate every sales process at once.

WESWOO can define the inquiry-to-order states and responsibilities, design selection lists, quote versions, and confirmation feedback in Figma, implement the corresponding Shopify theme modules, and connect quotation services, CRM, or ERP where the business requires them. Acceptance then follows actual test records through the participating systems.

Brand design should help the buyer make a purchasing decision. Product imagery can explain structure and mounting. Specifications can support comparison. The hierarchy of quantities, prices, and conditions can make clear what the buyer is confirming. Sales, buyers, and the warehouse should be able to continue from the same information.

Once inquiries exist, the next improvement is continuity: information can be quoted, the quote can be confirmed, confirmation can produce an accurate order, and the order can reach fulfillment.
