Steal My 5 Cold Email Reply Templates (Steal My Series)

You sent the cold emails. Now the replies come in — and most people fumble them.

I sell a 30-template B2B outreach pack (Cold Email Mastery). Today I'm tearing down 5 of the reply-handling templates from it — the ones for the replies you'll actually get. Copy, replace the [BRACKETS], send.

1. The "Not Now" Reply

They're interested — just not this quarter. Most salespeople either push or vanish. Do neither:

Thanks [NAME]. Totally understand. I'll check back in [TIMEFRAME]. In the meantime, here's [RESOURCE] that covers [TOPIC].
When you're ready, just reply here and we'll set something up.
[YOUR NAME]
Enter fullscreen mode Exit fullscreen mode

Why it works: no guilt-trip, keeps the thread alive, gives them an easy "yes" for later.

2. The "Send Me Info" Reply

The laziest reply in B2B — often a polite no. Don't just send a link. Send a map:

Great. Here's a [RESOURCE_TYPE] covering [TOPIC]: [LINK]
Key highlights:
- [BENEFIT_1]
- [BENEFIT_2]
- [BENEFIT_3]
Want me to walk you through it on a 15-min call? Here's my calendar: [LINK]
[YOUR NAME]
Enter fullscreen mode Exit fullscreen mode

Why it works: you control the narrative ("key highlights") instead of letting a PDF speak for you.

3. The "Too Expensive" Reply

Never discount first. Reframe with three options — lighter plan, phased rollout, or ROI math:

Totally understand, [NAME]. A few options:
1. We have a lighter plan at [LOWER_PRICE] that covers [FEATURES].
2. We can do a phased rollout starting with [PHASE_1] only.
3. Here's an ROI calculator showing break-even at [TIMEFRAME]: [LINK]
Which feels most realistic?
[YOUR NAME]
Enter fullscreen mode Exit fullscreen mode

Why it works: "which feels most realistic?" converts a price objection into a configuration conversation.

4. The "Need to Check with Team" Reply

A "no" from your contact is rarely the real decision — the team decides. Arm your champion:

Of course. To help you make the case internally, I'll send:
1. A 1-page summary your [DECISION_MAKER_ROLE] can scan in 2 min
2. A case study from [SIMILAR_COMPANY] with quantified ROI
3. An ROI estimate customized to [COMPANY]
Want me to include anything else?
[YOUR NAME]
Enter fullscreen mode Exit fullscreen mode

Why it works: you stop selling and start equipping. The "anything else?" gets them invested in the internal pitch.

5. The "We Use a Competitor" Reply

The long game. Compliment, differentiate once, leave the door open:

Good to know. [COMPETITOR] is solid for [COMPLIMENT]. We differ on [DIFFERENTIATOR_1] and [DIFFERENTIATOR_2].
No pressure to switch -- but if [DIFFERENTIATOR] becomes important, I'm here.
Happy to share how [SIMILAR_COMPANY] compared the two. Want the breakdown?
[YOUR NAME]
Enter fullscreen mode Exit fullscreen mode

Why it works: zero desperation. Months later, when the competitor stumbles, you're the one they remember.

The full pack has 25 more: introduction emails, follow-up sequences (5/3/7-touch), subject line formulas, and advanced tactics like trigger events and champion enablement.
