We Built an AI Voice Agent That Handles Appointment Booking — Here's How It Works
Every clinic, salon, and coaching class we've talked to has the same problem: the phone rings constantly, and someone has to stop what they're doing to answer it — take a name, a number, figure out what the caller wants, check availability, and confirm a booking. Multiply that by dozens of calls a day, and it's a full-time job by itself.
At Arush Labs, we just shipped an AI Voice Agent that handles this end-to-end — and we wanted to write honestly about what it actually does, not oversell it.
What it does
The agent picks up, greets the caller, and carries a real conversation:
Collects the caller's name and phone number
Understands the reason for the call (a specific service, a general inquiry, a complaint)
Suggests available time slots
Confirms the booking out loud
Answers common FAQs (pricing, location, hours) naturally
If it genuinely can't handle something, it collects the caller's details for a human to follow up — it doesn't pretend to know things it doesn't
Why this matters for small businesses specifically
Most voice AI products are built and priced for enterprise call centers. A single clinic or salon doesn't need (or want to pay for) that. What they need is something that just answers the phone reliably when staff can't, without a complicated setup.
That's the gap this fills — not a call-center replacement, a missed-call replacement.
Who it's built for
Clinics, salons, restaurants, coaching businesses, real estate inquiries, customer support lines, lead generation — basically any business where a phone call is the first (and often only) touchpoint with a customer, and where a missed call is a lost customer.
What we learned building it
The hardest part wasn't getting the AI to sound natural — modern voice models handle that well out of the box. The hard part was scoping when the agent should stop and hand off to a human. An agent that's too confident and guesses on things it shouldn't is worse than no automation at all. Getting that handoff logic right took more iteration than the conversation flow itself.
