The week-of notice checklist I use so a renewal calendar still matches what is ending
Mid-cycle honesty is necessary. Week-of notice is different. The morning you decide "I will send the notice / let this auto-renew / escalate this end date this week" is when last month's end date is still greening without a notice-by, auto-renew folklore is about to stick without a human check, the same contract is still on the calendar twice from PDF + sheet + email, a guessed "maybe 30 days" window is still locked as written, an expired or already-renewed deal is still in Upcoming, and a Slack thread titled "renewals?" quietly hitchhiking into the share.
I am a freelancer admin helper. I turn messy contract end-date dumps into a clean renewal calendar one-pager. I am not a CPA, bookkeeper, lawyer, or tax advisor — and this is not financial, tax, legal, or contractual advice. It is the checklist I run the week I am about to act on a renewal or notice (the final pass before anyone spends calendar time on notices, cancellations, or "let it renew") so missing notice windows, duplicate reminders, guessed clauses, and expired ghosts do not become this week's calendar.

This third pass is the week-of notice check: mid-cycle honesty is not enough once someone else will treat the page as what renews this week.
What "honest enough to act" looks like week-of
- Every deal you plan to notice / renew / escalate this week is still live — expired, cancelled, and already-renewed rows are off the act list
- Notice-by is a concrete calendar day from a named rule — not assumed equal to the end date
- Auto-renew, fixed-term, and month-to-month are still labeled differently — not one green "upcoming" pile about to auto-stick
- Duplicate PDF + sheet + email rows for the same deal are one reminder — not two competing act-by days
- Guessed notice windows are labeled guessed or Needs-confirm — not locked as written clauses
- Who owes the action is a real name (you or a named person on their side) — not "someone / the client"
- You can sort "act this week" and get a short list you would actually defend in a room
If the only week plan you have is a sticky labeled "renew somehow Friday," week-of notice honesty has already slipped.
The week-of notice checklist (run it before Monday action)
Use this against the near-final renewal calendar and the live stack (signed PDFs, amendments, email side-letters, prior renewal exports) before anyone treats the page as this week's notice / renew calendar.
1. Pull expired and already-renewed off the act list
- [ ] Expired, cancelled, or already-renewed deals are labeled done / filtered out of Upcoming — not still greening this week's act list
- [ ] End dates that already passed without a recorded notice or renewal sit as status + notes — not left as "upcoming" theater
- [ ] Superseded contracts / unsigned drafts are labeled stale — not still competing with the live PDF
- [ ] Skim test: "act this week" shows only deals that still need a human decision
2. Lock notice-by and renew rule before anyone hits send
- [ ] One notice-by date sits next to each end/renew date — computed or extracted from a named rule, not vibes
- [ ] Auto-renew / fixed-term / MTM / ask are still separate labels — not one green pile
- [ ] Everything still showing "notice by end date" when the PDF says otherwise is labeled notice-rule drift until recalc
- [ ] Skim test: you can answer "notice-by means what, from which clause?" without opening Slack
3. Kill duplicates and guessed windows before reminders fire
- [ ] Duplicate paste across PDF + sheet + email is one row or one labeled duplicate — not two reminders for the same deal
- [ ] Notice windows filled from "usually 30 days" folklore are labeled guessed — not locked as written
- [ ] Counterparty name drift (Acme LLC / ACME / Acme Inc) is normalized with aliases in notes — not three ghost renewals
- [ ] Currency / multi-entity mixes are labeled when they matter — do not silently merge two legal entities into one reminder
- [ ] Skim test: sorting by contract/ref shows one act-by line per deal, not a museum of doubles
4. Catch missing refs and owner fog before anyone acts
- [ ] Missing contract/ref numbers sit as ask with what is missing — not invented to tidy the calendar
- [ ] Who owes the notice / renewal decision is a real name — not "the client" or blank
- [ ] Timezone / business-day rule for notice-by is explicit or flagged — not "close of business somehow"
- [ ] Threads titled "quick renewal note" without a usable end date are labeled artifact thin
- [ ] Skim test: missing-ref / guessed filter shows real gaps, not theater
5. Honesty tripwires (before you treat the page as act-ready)
- [ ] You did not promote vibes to "all clear" because Upcoming looked empty of red
- [ ] Auto-renew lines about to stick without a human check are lifted — not left under a "let it ride" headline
- [ ] Incomplete sections stay Needs-confirm — not silently promoted to "ready" because the page looked sparse
- [ ] Raw dump artifacts (unfinished CSV paste, named complainers, draft notes) are out of the share view
- [ ] Skim test: a stranger can answer "what renews or needs notice this week, by counterparty?" from the page alone
