After the kickoff call I send this same day:
“Recap from today’s kickoff - scope is frozen as:
- Deliverables: …
- Must include / must not: …
- Timeline: …
- Revisions: …
Anything new after this email is a change order (price + date). Reply ‘confirmed’ or send corrections by [date].”
If they never confirm, I still treat the email as the freeze and quote changes against it.
