A baker's week with AI: 4 small-business workflows you can copy

Picture a small neighborhood bakery. One owner, a couple of helpers, and a day that starts before sunrise. The baking is the fun part. The paperwork, the social posts, the "are you open on Sunday?" messages, and the monthly newsletter are not.

This isn't a real bakery with made-up results. It's an example to show how a few simple AI workflows could fit into a normal small-business week. Swap "baker" for florist, barber, or bike shop, and it works the same way.

The rule stays the same as always: AI does the boring first draft, and the owner makes the final call.

Monday: Catch every receipt (Finance)

The problem: Flour, butter, and box receipts land in your email and then get lost before tax time.

The workflow:

  1. Make a Gmail filter that puts receipt emails under one label.
  2. Use Zapier with an AI step to pull out the store, the date, and the amount.
  3. Save the receipt file to a Google Drive folder.
  4. Add a row to a Google Sheets expense log.

Why it helps: Your receipts end up in one tidy list instead of scattered across your inbox. Glance over the sheet each week, because AI can misread a number. Full recipe: Receipt and invoice capture

Tuesday: Answer the same questions once (Support)

The problem: "What time do you open?" "Do you have gluten-free?" "Can I order a cake for Saturday?" Over and over.

The workflow:

  1. Write your answers down in one place: hours, menu, allergy info, how to order.
  2. Turn on an AI helper (like Intercom's) that answers only from those pages.
  3. Send anything about money, allergies, or special orders to a real person.
  4. Once a week, look at the questions it couldn't answer and add them to your list.

Why it helps: Simple questions get fast answers, and the tricky ones still come to you. Full recipe: Help-center answer bot

Wednesday: Turn one post into many (Marketing)

The problem: You wrote a nice post about your new sourdough, and then it sat there.

The workflow:

  1. Paste the post into ChatGPT and ask for short versions for each social site.
  2. Edit them so they sound like you.
  3. Make a quick picture in Canva (or use a real photo of the bread).
  4. Schedule them in Buffer.

Why it helps: One piece of writing turns into a week of posts. You still choose what goes out. Full recipe: Blog post to social thread

Friday: Draft the newsletter (Marketing)

The problem: The weekly "what's fresh this week" email takes an hour you don't have.

The workflow:

  1. Keep notes or links all week (new items, events, a recipe you liked).
  2. Ask Claude to draft short blurbs in your voice.
  3. Read it, fix anything that's wrong, and add a personal line.
  4. Send it from Mailchimp yourself.

Why it helps: You start from a draft instead of a blank page, and nothing goes to customers until you hit send. Full recipe: Newsletter drafting

A few honest tips

  • Start with one. Pick the task that bugs you most. Don't set up all four on day one.
  • Keep a human in the loop. Anything that touches money, allergies, or customers gets a look from you first.
  • Check prices yourself. Tool prices and free plans change, so look at each tool's official site before you start.
