The copy that looks finished

A transcript arrives in your inbox as a file called final-final.txt. The paragraphs are tidy. Someone has removed the timestamps. You find a sentence worth quoting, then spend ten minutes hunting for it in a recording that may be a different edit. The writing is usable; the handoff is broken.

When you share a transcript, send enough context for the next person to check it. A small source note and a few deliberate labels can save a surprising amount of backtracking. Here is a practical handoff you can use before emailing a transcript to an editor, teammate, or client.

Name the recording before naming the document

Start with the exact recording the transcript came from. Record its filename, duration, recording date if known, and the version you reviewed. An interview with a trimmed introduction is a different source from the original upload, even when the conversation is identical.

Keep this note at the top of the document. For example: Source: customer-interview-edit-02.mp4; duration: 24:18; reviewed against this edit on October 15. This is an invented example, not a Wordtake processing result. If the source has changed, say so before anyone starts checking timestamps.

Keep a route back to the words

A reading copy does not need a timestamp on every line. It does need a reliable way back to the recording. Keep timestamps at topic changes and beside quotations or disputed passages. State whether they refer to elapsed playback time, so an editor does not mistake them for camera timecode.

If you make a polished copy, preserve the timestamped working copy too. Give them distinct names and link them in the handoff note. A reader can then use the clean version while a reviewer can trace a sentence without guessing where a paragraph began.

Make unresolved details visible

Do not let neat formatting imply that every name and number has been checked. Mark uncertain passages beside the words, with a timestamp and a short question. For example: [08:42 — confirm whether the amount is fifteen or fifty]. Avoid silently selecting whichever number makes the sentence sound more reasonable.

Add a brief review note: what you checked, what remains open, and who can resolve it. Speaker labels deserve the same care. If you cannot identify a voice, keep a neutral label rather than attaching a real person's name on the basis of context alone.

Separate editing choices from source corrections

Tell the recipient whether the copy keeps fillers, repeated words, and false starts. A sentence cleaned for reading may be useful, but someone preparing a direct quotation should know that wording has been edited. Keep the source wording available for comparison.

When a reviewer changes a substantive detail, leave a short change note instead of replacing the only copy. A useful note identifies the passage, the correction, and the recording position. It need not become an elaborate approval system; it just needs to explain why two versions differ.

Send a small, usable package

Before sharing, open the actual exported file. Check that the first and last paragraphs are present, speaker labels survived, and links work for the intended recipient. Confirm that sharing the recording itself is appropriate; a transcript handoff is not permission to distribute a private interview more widely.

In Wordtake, start from the timestamped transcript and review important passages against the source before exporting. Send the reading copy, a source note, and any unresolved questions together. The recipient should be able to answer three things immediately: which recording is this, what has been reviewed, and where do I check the words?
