You know the emails you write 20 times a month and still start from a blank page every single time?
Meeting notes. The out-of-office message. Follow-ups. Scope changes. Late payment nudges.
Every one of them follows the same structure every time — yet most professionals rewrite them from scratch, slowly, and inconsistently.
I documented the email patterns I keep reusing, so today I'm giving you two of them, complete, to steal.
Template 1: Meeting Notes / Action Items
The email everyone needs after a meeting but nobody wants to write. The trick: decisions, action items with owners, parking lot, next meeting. Copy-paste and fill:
Subject: Meeting notes - [MEETING_NAME] - [DATE]
Hi everyone,
Thanks for the productive session today. Here are the key outcomes:
DECISIONS MADE:
- [Decision 1]
- [Decision 2]
ACTION ITEMS:
- [ ] [Action item] - Owner: [NAME] - Due: [DATE]
- [ ] [Action item] - Owner: [NAME] - Due: [DATE]
- [ ] [Action item] - Owner: [NAME] - Due: [DATE]
PARKING LOT (to discuss later):
- [Item 1]
- [Item 2]
NEXT MEETING: [DATE] at [TIME]
Full notes: [LINK]
[YOUR_NAME]
Why this works: every action item has an owner and a due date, which is the difference between "we discussed it" and "it got done". The parking lot keeps side-topics from hijacking the next meeting.
Template 2: Out of Office / Coverage
The out-of-office that protects your vacation instead of generating 40 "quick question while you're away" pings:
Subject: Out of office [DATE_RANGE] - Coverage plan
Hi team,
I'll be out of the office from [START_DATE] to [END_DATE], returning on [RETURN_DATE].
COVERAGE:
- [TASK_TYPE 1]: Contact [COLLEAGUE_NAME] at [EMAIL]
- [TASK_TYPE 2]: Contact [COLLEAGUE_NAME] at [EMAIL]
- Urgent matters: [COLLEAGUE_NAME] at [PHONE/EMAIL]
I'll have limited email access and will respond to non-urgent items when I return.
Before I leave, I'll ensure:
- [Ongoing task 1] is handed off to [NAME]
- [Ongoing task 2] is up to date
- All pending approvals are processed
Thanks,
[YOUR_NAME]
Why this works: naming a human per task type means requests get routed before they reach you — and the "before I leave" checklist forces a clean handoff instead of a pile of loose ends.
