Building a Personal Brand Through Email
Personal branding isn't about self-promotion. It's about consistently communicating your expertise to the right audiences. Every email pitch, speaking application, and guest post submission is a chance to demonstrate your value while expanding your reach.
The best personal branding emails make it easy for gatekeepers to say yes. Editors, podcast hosts, and event organizers are looking for content that serves their audience. Show them how you do that.
Media Pitch Templates
Media pitches must be short, timely, and newsworthy. Journalists receive hundreds of pitches daily. You have about 3 seconds to prove yours is worth reading.
Example: 'Subject: [Timely hook — tie to current news or trend] — Expert Available. Hi [Journalist Name], [One sentence connecting to their recent article or beat]. I'm [Your Name], [credential in 5 words or less]. [One sentence pitch: what you can offer their readers that's timely and specific]. Key talking points: [2-3 bullets — specific, not generic]. I can provide [data, case studies, original research, contrarian perspective]. Available for [phone, video, in-person] interview on short notice. Bio and headshot: [Link]. Previous media: [1-2 notable mentions if any]. Best, [Name, Title, Contact]'
Follow up once after 3-5 days: 'Hi [Name], following up on my pitch about [topic]. I know your inbox is packed. If the timing isn't right, I'm also happy to be a source for future stories about [your expertise area]. Either way, I enjoy your coverage of [their beat].'
Speaking Engagement Applications
Speaking applications should make the organizer's decision easy. Include your topic, why their audience cares, your credentials, and proof you can deliver.
Example: 'Dear [Event Organizer], I'd like to propose a session for [Event Name]: Title: [Compelling, specific title]. Format: [Keynote, workshop, panel, fireside chat]. Duration: [Preferred length]. Abstract: [3-4 sentences on what the audience will learn and why it matters NOW]. Audience takeaways: [3 specific, actionable things attendees will walk away with]. Why me: [2-3 sentences on your relevant expertise and experience]. Speaking experience: [List 2-3 previous engagements with audience sizes]. Materials: [Speaker reel link, bio, headshot attached]. I'm flexible on format and happy to tailor the content to your audience's needs. Would you like to schedule a brief call to discuss?'
After being accepted: 'Thank you for selecting my session. To confirm: Title: [Confirmed title]. Date/Time: [Session slot]. Duration: [Length]. AV needs: [Projector, microphone, internet]. I'll have my slides ready by [date]. Is there a slide template I should use? Any specific audience demographics or expectations I should know about? Looking forward to [Event].'
Podcast Guest Pitches
Podcast hosts want guests who will be engaging, prepared, and valuable to their listeners. Your pitch should demonstrate all three qualities.
Example: 'Hi [Host Name], I'm a listener of [Podcast Name] and especially loved your episode with [recent guest] about [topic]. I'd love to be a guest to discuss [specific topic]. Why your listeners would care: [1-2 sentences connecting your expertise to their audience's interests]. Conversation starters: [3-4 specific questions or topics you could explore — these give the host a preview of the conversation]. About me: [2 sentences — credentials and one interesting personal detail]. Previous podcast appearances: [Links to 1-2 episodes if available]. I'm flexible on timing and format. Would this be a good fit for your show?'
If accepted: 'Excited to join [Podcast Name]! To prepare: Is there a specific angle you'd like to explore? Any topics to avoid? What's your recording setup — [platform, length, format]? I'll promote the episode to my [audience size] across [platforms]. Happy to provide a bio, headshot, and suggested intro for show notes.'
Guest Article Submissions
Guest article pitches should demonstrate you understand the publication's audience and editorial standards. A pitch that says 'I'd love to write for your site' wastes everyone's time.
Example: 'Hi [Editor], I'd like to pitch a guest article for [Publication]: Title: "[Specific, compelling title]." Summary: [2-3 sentences on the article's thesis and key points]. Why now: [Timeliness or relevance to current trends]. Why me: [Your specific expertise on this topic]. Estimated length: [Word count matching their typical articles]. I've read your contributor guidelines and noticed your recent articles on [related topic]. My piece would complement that coverage by [adding a new angle, deeper analysis, practical application]. Writing samples: [2-3 links to published work]. I can deliver a draft within [timeframe] of approval.'
After publication: 'Thank you for publishing my article. I'm promoting it across [platforms] and have seen [engagement metrics if available]. I'd love to contribute again. Here are two more ideas for your consideration: [Brief pitches for 2 follow-up articles]. Let me know if either resonates.'
Professional Bio and Introduction Templates
You need multiple versions of your professional bio: one sentence, one paragraph, and full page. Having these ready saves time and ensures consistency across platforms.
One-sentence bio: '[Name] is a [specific credential] who helps [specific audience] [achieve specific outcome]. [One notable achievement or affiliation].'
One-paragraph bio: '[Name] is a [title/credential] specializing in [specific expertise]. Over [X years], [he/she/they] has [2-3 key achievements or experiences]. [His/Her/Their] work has been featured in [publications/platforms]. [Name] is passionate about [specific mission or focus] and currently [current project or role]. Connect at [website/social].'
When someone asks for an introduction email: 'Hi [Name], I'd like to introduce you to [Person], who [one sentence on why they're relevant to the recipient]. [Person], [Recipient Name] is [one sentence on why they're relevant to Person]. I think you'd benefit from a conversation about [specific shared interest]. I'll let you two take it from here. — [Your Name]'
