1. The Monthly CSV Export Checklist
When: First of every month, before you forget what last month looked like.
Most sellers skip this until quarter-end. That's backwards. A monthly checklist does three things a dashboard alone can't:
- Forces you to export on a schedule (Gumroad customers CSV + Stripe payments CSV)
- Creates a dated paper trail of what you knew when
- Catches refunds and fee changes before they compound
Your checklist needs five checkboxes:
- Gumroad customers CSV exported? ✓
- Stripe payments CSV exported? ✓
- Both files dated and filed? ✓
- Refunds flagged in both exports? ✓
- Ledger updated (Sheet or CLI)? ✓
2. The Unified P&L Ledger
When: Immediately after CSV export, same day.
This is the one most sellers either skip entirely or rebuild from scratch every quarter.
Your ledger doesn't need to be 20 tabs. It needs:
- Gross revenue per product (from Gumroad)
- Platform fees as separate rows (not hidden in net)
- Stripe deposits matched to Gumroad payouts
- Refund rows tagged and subtracted
- Net profit — the number you actually earned

3. The Quarterly Set-Aside Tracker
When: After each month's ledger is updated.
A set-aside tracker seems like the easy one, but sellers get it wrong in ways that cause panic:
❌ Set-aside calculated from gross sales (overestimates what you owe yourself)
❌ No separate fee column (fees get double-counted or ignored)
❌ One annual number instead of quarterly buckets
❌ No running total of what you've already set aside
A good tracker has: net profit per month, your tax rate assumption, set-aside amount per quarter, and a running "already saved" column.

4. The Product Revenue Breakdown
When: Whenever you launch a new product or change pricing.
This is separate from the P&L. The ledger covers totals; the product breakdown covers which SKU actually earns.
A proper breakdown has:
- Per-product gross — what each file earned
- Per-product fees — Gumroad cut per SKU
- Per-product net — what you actually kept
- Refund rate per product — catches quality issues early
Without this, "Product 2 is doing great" might mean gross while Product 1 refunds are eating the margin.
5. The Accountant Handoff File
When: Before you email your accountant (or before you DIY-file).
This one sounds administrative, but it's the highest-leverage document in your seller practice.
The handoff file covers everything your accountant needs in one attachment:
- Ledger CSV with categorized rows ✓
- Fee totals separated from revenue ✓
- Refund totals visible ✓
- Set-aside calculation shown ✓
- Date range labeled ✓

Why most sellers skip these (and pay at quarter-end)
The honest reason: templates feel like overhead when sales are flowing.
You've got a product selling, Gumroad pinging, Stripe depositing. Slowing down to export CSVs and update a ledger feels like it might kill momentum.
It won't. The sellers who reconcile monthly know their real number. The sellers who skip it pay at quarter-end — in time, stress, and sometimes penalties.
